About the role
The Office of the Assembly is looking for a Procedural Services Assistant to support the Legislative Assembly of Ontario in a non-partisan administrative and procedural capacity. This position sits within the Procedural Services Branch and reports to the Clerk of a standing or select committee, working alongside Clerks and other Procedural Services Assistants. The role is fully on-site in Toronto, Ontario, and is an existing vacancy.
What you will do
- Provide professional, impartial support in a politically sensitive environment.
- Use tact, discretion, and sound judgment when dealing with MPPs, Assembly staff, members of the public, and other outside contacts.
- Keep electronic records organized in SharePoint and enter or retrieve data in an internal Microsoft Power Apps database.
- Manage several Outlook inboxes, as well as contact lists and calendars.
- Reach out to committee witnesses and explain the public hearing process and committee practices.
- Prepare and circulate committee documents such as meeting notices, agendas, exhibits, reports, research, and briefing materials.
- Draft meeting minutes and reporting formats for House reports, and gather all materials needed for the introduction and First Reading of Private Bills.
- Arrange travel-related logistics for committees, including transportation, meals, and accommodation.
- Provide backup support to the Reception/Information Clerk and handle inquiries from the public.
Qualifications
- Completion of post-secondary education.
- Strong interest in Ontario’s parliamentary system and government operations.
- Solid computer literacy and hands-on experience with office practices and procedures.
- Proven administrative ability with strong organization, time management, and communication skills.
- Ability to adjust quickly in a fast-changing work environment.
- Awareness of budget processes and the ability to track financial commitments and monitor branch spending.
- Team-oriented approach with the flexibility to build positive working relationships across internal and external groups.
