Role Overview
WSP in Asia is looking for an experienced Proposal Coordinator to assist the Proposal Manager across the full bidding and proposal lifecycle. The role calls for someone who is highly organized, detail-focused, and comfortable working with multiple teams to produce accurate, polished, and timely submissions. Key Responsibilities
- Support the creation, formatting, and final submission of proposals and bid packages.
- Bring together inputs from technical, commercial, and design teams so deadlines are met.
- Keep reliable records of opportunities, submitted bids, and feedback received.
- Assist with data entry and quality checks in CRM platforms and other core business systems.
- Help schedule and organize governance meetings, including monitoring follow-up actions.
- Work with internal teams to collect information needed for bid responses.
- Edit, proofread, and adapt prepared content for use in proposals.
- Prepare updates and reports on bid progress, pipeline activity, and win/loss outcomes.
- Contribute to training efforts and knowledge-sharing practices led by the Proposal Manager.
- Make sure proposals align with business goals, internal systems, and risk controls.
- Monitor and update business development activity, leads, pipeline, and opportunities.
- Support prospect review meetings and keep the Bid Master File up to date.
- Handle general administrative work that supports smooth business development operations.
- Maintain databases of prospective clients and key contacts.
Requirements
- A bachelor’s degree, or equivalent practical experience, in marketing, communications, business, or engineering.
- 2 to 6 years of experience in bids, proposals, or project coordination.
- Strong planning, organization, and time management abilities.
- Excellent written and spoken communication skills.
- Comfort using MS Office and collaboration platforms.
- High attention to detail and the ability to stay effective under pressure.
