Position Overview

Cadwalader, Wickersham & Taft LLP is seeking a Receptionist to join the Office Operations Team at its New York Office. This role is crucial for providing exceptional customer service to clients, guests, and employees entering the main lobby. The Receptionist will also assist with meeting setups in coordination with conference services, office services, and other departments to ensure seamless management of space, catering, and AV/IT equipment. Building positive professional relationships with clients, attorneys, and administrative staff is essential for success.

Responsibilities

  • Greet and formally log all visitors, including attorneys and personnel from other Cadwalader offices, and notify relevant IT and Office Services team members.
  • Manage incoming telephone calls for attorneys, business professionals, and clients, directing them appropriately or to voicemail.
  • Escort guests to their designated meeting rooms as needed.
  • Facilitate the scheduling of visiting attorney offices.
  • Maintain and update conference room reservation details and logistics within the EMS system, collaborating closely with Conference Services, Office Services, and IT to ensure smooth meeting operations.
  • Address conference room requests and inquiries promptly, delivering excellent customer service to resolve any issues.
  • Assist clients and visitors with arrangements for local transportation.
  • Possess comprehensive knowledge of all office personnel and departments.
  • Be well-informed about all office-wide amenities.
  • Ensure the reception area and floor entrances are consistently neat, orderly, and secure, verifying that all guests are properly logged with building security.
  • Manage the security badge log, including the temporary issuance of loaner cards.
  • Provide guests with the wireless network password as required.
  • Coordinate with Conference Services to distribute the daily office visitor email.

Experience and Qualifications

  • Proficiency in essential firm applications such as Outlook, iManage, and EMS.
  • Willingness to work overtime when necessary.
  • Experience with making international and long-distance calls.
  • Hold a Bachelor's degree.
  • Previous experience in hospitality, customer service, as a receptionist, or as a concierge.
  • Prior experience working within a law firm environment is preferred.
  • Demonstrated ability to interact professionally, cooperatively, and tactfully with clients, colleagues, and others, both in person and over the phone.
  • A detail-oriented and adaptable approach to work.
  • Punctuality is a key requirement.
  • Maintain a pleasant and professional demeanor with clear vocal communication.
  • Excellent verbal and written communication, organizational, computer, and interpersonal skills.
  • Capacity to multitask effectively, resolve problems, and handle confidential information with discretion and tact.
  • Ability to thrive in a fast-paced work environment.

Additional Information

This role requires a commitment of five days per week in the office, with working hours from 8:00 a.m. to 4:00 p.m.

The anticipated annual base salary for this position ranges from $60,000 to $65,000. The final salary offered will be determined by factors such as the applicant's qualifications, years of relevant experience, educational attainment, professional certifications or licenses, and the specific work location.
