About the Role
Whizz HR is seeking a professional and organized Receptionist to join our team in Dubai. This role is crucial for maintaining a welcoming and efficient office environment. You will be the first point of contact for visitors and will handle a variety of administrative and office management tasks.
Responsibilities
- Welcome and assist visitors, clients, and staff with a friendly and professional demeanor.
- Handle incoming calls, emails, and general correspondence efficiently.
- Organize and schedule meetings, appointments, and manage conference room reservations.
- Manage all incoming and outgoing mail and courier services.
- Maintain and organize both digital and physical office records and documents.
- Prepare necessary reports, presentations, and other documentation.
- Assist with travel arrangements, expense reports, and manage calendars.
- Provide support to the HR department with onboarding processes and personnel record keeping as needed.
- Monitor and manage office supplies and equipment inventory.
- Ensure the office premises are kept clean, safe, and well-maintained.
- Coordinate with building management, external service providers, and vendors.
- Oversee facility maintenance and IT support requests.
- Assist with monitoring office budgets and handle invoicing or petty cash.
Qualifications and Requirements
- Demonstrated experience in office administration, reception, or a comparable role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic IT systems.
- Excellent communication and interpersonal abilities.
- Strong capacity for multitasking, prioritizing tasks, and effective time management.
- High degree of professionalism and the ability to maintain confidentiality.
- Basic knowledge of bookkeeping or HR support functions is advantageous.
