Role Overview

City of Pullman is seeking a full-time Records Specialist to support the Pullman Police Department. This is an in-person administrative and technical support role that starts at $27.96 per hour and includes benefits. The position requires shift work, and coverage is needed around the clock, including holidays.

What You Will Do

In this role, you will serve as the front-desk public contact for the police department, handling clerical and administrative tasks tied to confidential police records and public assistance. You will also help manage access to the jail area, observe activity in secure spaces, and process payments.

  • Transcribe dictated reports and enter information into police record systems and databases.
  • Prepare, copy, and route documents for the city attorney and prosecutor.
  • Answer business and non-emergency phone calls, relay messages, and direct emergency requests to dispatch.
  • Welcome visitors, provide directions, distribute forms, collect fees, and issue receipts.
  • Assist the public with accident reports, minor crime reports, parking permits, dog licenses, fingerprints, concealed pistol license paperwork, and other routine requests.
  • Monitor jail access, track movement in the holding area, search arrestees of the same sex when required, and process bail payments.
  • Watch building activity through video surveillance and monitor scanner traffic to prepare for incoming offenders and emergency access needs.
  • Accept evidence and property when needed, handle petty cash, and maintain related records.
  • Use office and criminal justice software, including digital dictation tools and database systems, to complete day-to-day work.
  • Support new staff or volunteers when asked and keep the front reception and records area orderly.
  • Perform other related duties as assigned.

Minimum Qualifications

Applicants should have at least one year of experience in administrative work, clerical support, customer service, records management, or a similar field. Strong precision, good communication skills, computer proficiency, and the ability to pass a law enforcement background check are required.

Preferred Background

Preference may be given to candidates with an associate degree in Criminal Justice, Public Administration, Business Administration, or a related discipline. Helpful experience includes two or more years in police records, public safety, emergency communications, court administration, or government records management, along with exposure to Motorola Flex (Spillman), NCIC, Nlets, ACCESS, WACIC, or similar systems. Familiarity with public records laws, retention rules, criminal justice information standards, records redaction, and rotating shift work in a public safety setting is also valued.

Selection Factors and Skills Expected

The position calls for a working knowledge of office operations, English grammar and punctuation, and basic arithmetic. Successful candidates should be able to use computers and standard office software, type accurately, maintain confidentiality, work well with colleagues and the public, follow procedures, learn records systems and criminal justice databases, prioritize multiple tasks, and work independently.

Working Conditions and Equipment

Work is primarily performed in an office setting, often while seated at a desk or standing at a reception counter. The role may involve lifting office supplies, reading documents for extended periods, and monitoring police and jail facilities visually. Common tools include a telephone, typewriter, copy machine, digital dictation system, fax machine, and a personal computer with word processing and database software.
