Role overview
The Secretary will deliver senior-level administrative and office support, helping the team stay organized and operations run smoothly. The position calls for strong commercial awareness, excellent coordination abilities, and the confidence to handle multiple priorities in a busy, fast-moving environment.
Key responsibilities
- Prepare outgoing communication with care, including typing, proofreading, and dispatching correspondence to a high standard.
- Review incoming mail, prioritize it, and route it to the line manager after proper assessment.
- Handle routine standard correspondence proactively and keep the line manager informed about any important matters.
- Coordinate with internal departments on the line manager’s behalf and follow up to ensure tasks progress smoothly.
- Draft letters for the line manager that are clear, polished, and professionally written.
- Keep correspondence and records filed in a structured and easy-to-retrieve system.
- Support meetings by taking accurate minutes, circulating them, and tracking follow-up actions.
- Manage the line manager’s phone calls and appointments, using effective screening and scheduling practices.
- Build and maintain an updated contact database as required by the line manager.
- Arrange travel plans and coordinate external business trips for the line manager.
Requirements
- At least 4 years of relevant experience, including exposure to senior management support.
- A university-level professional qualification, or a qualification that is close to completion, is considered an advantage.
- Excellent written and spoken communication skills.
- Strong teamwork skills and experience working through organizational change.
- Advanced working knowledge of MS Office applications.
- Arabic language skills are required.
Compensation
The offered salary is AED 7,000 to AED 9,000 per month.
