Role overview
The Soft FM Services Supervisor oversees on-site checks of third-party contractors to confirm they are meeting contractual obligations, Service Operation Manual (SOM) requirements, company procedures, and relevant local and international quality standards. The position focuses on steady service delivery, audit readiness, and high operational standards across all assigned locations.
Key responsibilities
- Assess Service Operation Manuals against actual site conditions and suggest corrections or enhancements where needed.
- Keep SOMs current so they reflect operational needs and conditions at each site.
- Track the execution of approved procedures and programs defined in the SOMs.
- Carry out planned and unplanned inspections according to the company’s audit schedule.
- Spot areas of non-compliance and work with service providers to close them out.
- Maintain complete and accurate inspection logs, reports, records, and corrective action trackers.
- Check contractor submissions, reports, and supporting documents for accuracy and contract alignment.
- Assist in evaluating vendor and service-provider performance against agreed processes and KPIs.
- Compile and send weekly and monthly evaluation reports to management.
- Re-inspect sites to confirm that audit observations and corrective actions have been resolved.
- Make sure all services meet applicable local rules, international requirements, and contractual terms.
- Support improvements to audit methods, quality procedures, and inspection standards.
- Provide day-to-day operational support to project teams handling building-services inspections and supervision.
- Oversee contractors on site to confirm work is finished within scope and on schedule.
- Monitor manpower, productivity, materials, and equipment usage to support efficient site operations.
- Keep site files up to date, including daily logs, progress updates, and contractor coordination records.
- Maintain clear communication with internal teams and external service partners.
- Take on other duties as assigned by management.
Reporting and relationships

- Internal stakeholders include the operations team, project teams, and client departments.
- External contacts include vendors, contractors, and service providers.
Qualifications and experience
- A bachelor’s degree in Construction, Facilities Management, Engineering, or a related discipline is required.
- At least 3 years of experience in construction supervision or facilities management is required.
- Previous experience managing contractors and service providers is preferred.
- Strong knowledge of contractor supervision, building services, audits, and compliance standards is expected.
- Familiarity with SOMs, quality systems, and contractual compliance is important.

- Deliver consolidated monthly inspection and compliance reports.
- Complete quarterly reviews and updates of the Service Operation Manuals.
- Finish site inspections within two weeks, subject to the availability of required resources.
