Key responsibilities

  • Source vendors and subcontractors in real time through a high volume of outbound calls, confirming availability, skills, and turnaround times for urgent assignments.
  • Develop and keep strong vendor pipelines through regular outreach and relationship-building to prepare for future projects.
  • Match the most suitable vendor to each job by using clear communication and practical problem-solving to keep work progressing.
  • Support administrative follow-up by reinforcing email requests with phone calls so vendors understand and complete required paperwork.
  • Track responsiveness and compliance, following up actively to obtain timely updates and mandatory submissions.
  • Maintain consistent documentation quality and help close communication gaps between vendors and internal teams.

Skills and requirements

  • Confident verbal communication with a direct, persistent phone manner.
  • Comfort working in a call-heavy environment and handling rejection professionally.
  • Ability to think through problems and adjust quickly to changing needs.
  • Strong organization and close attention to detail.
  • Capability to juggle multiple tasks and priorities across teams.
  • Working knowledge of MS Suite tools such as Outlook, Excel, Word, and SharePoint.
  • Prior experience in high-volume phone roles such as load coordination, dispatch, freight brokerage, recruiting, or outbound sales is preferred.
  • Background in construction, facilities maintenance, or contractor sourcing is preferred.
  • Familiarity with compliance items such as COI, W9, and licensing is preferred.
  • Experience with CRM platforms, dispatch tools, or vendor management systems is preferred.

Benefits

  • Eligibility for an annual year-end bonus tied to company profitability.
  • Employer-paid basic term life insurance, as well as short-term and long-term disability coverage.
  • Access to life insurance options including basic, voluntary, and AD&D coverage.
  • Health coverage options for medical, dental, and vision.
  • Flexible spending account (FSA) and health savings account (HSA) options.
  • Retirement benefits including 401(k), IRA, and company match.
  • Paid time off, including vacation, sick leave, and public holidays.
