Role Overview

The Wellness Administration Coordinator will oversee communication, scheduling, and relationship management across a wide network of healthcare and wellness partners. This includes physicians, specialists, functional medicine practitioners, nutritionists, therapists, laboratories, hospitals, pharmacies, health coaches, insurance providers, and international medical concierge services.

Key Duties

  • Plan and manage medical appointments for the Executive family, covering annual screenings, specialist visits, diagnostic tests, and follow-up care.
  • Monitor referrals, recommended treatments, and specialist guidance.
  • Collect, arrange, and securely maintain medical records, test reports, and related documentation.
  • Draft clear medical summaries to help support healthcare decisions.
  • Coordinate wellness support such as supplement plans, prescription renewals, and sessions with nutritionists, therapists, and health coaches.
  • Keep wellness schedules updated and track important health dates, treatments, and upcoming assessments.
  • Organize priority medical care and healthcare access during travel.
  • Arrange medical transport and other support services when needed.
  • Work closely with international concierge medicine and healthcare partners.
  • Help ensure continuous care for the Executive family during travel and extended stays abroad.
  • Build and maintain a secure, centralized medical record system.
  • Catalog lab results, imaging reports, prescriptions, and treatment plans in an organized way.
  • Maintain detailed health timelines for the Executive family while protecting confidentiality and data security at the highest level.
  • Handle insurance administration, including pre-approvals, claims filing, direct billing coordination, and reimbursement follow-up.
  • Check medical invoices for accuracy and coordinate with insurers and providers to fix billing discrepancies.
  • Keep reliable records of claims, approvals, payments, and associated financial paperwork.

Requirements

  • Background in medical administration.
  • Very strong judgment around privacy and confidentiality.
  • Working knowledge of medical terminology.
  • Prior experience coordinating with specialists and hospitals.
  • Solid project coordination and follow-through skills.
  • Excellent written communication ability.
