Role overview
This position calls for an experienced Executive Assistant to support senior leadership with advanced administrative and operational coordination in Washington, DC. The role sits at the intersection of legal, governance, and human resources work, helping keep schedules, priorities, and follow-ups organized and moving.
The right candidate will be exceptionally organized, trusted with sensitive information, and able to manage several moving parts at once while maintaining accuracy and professionalism.
Key responsibilities
- Run complex executive calendars by booking meetings, resolving conflicts, and making sure the most important priorities remain visible and up to date.
- Coordinate end-to-end travel and meeting logistics, including agendas, supporting materials, itineraries, and expense-related records.
- Sort through incoming messages and requests, judge what needs immediate attention, and respond to or redirect items with a clear and professional tone.
- Help drive departmental initiatives by managing timelines, checking progress, and keeping stakeholders aligned on deliverables.
- Create and maintain trackers, status updates, and shared documents that improve visibility into tasks, deadlines, and ownership.
- Draft, revise, organize, and store legal, governance, HR, and compliance documentation with strong attention to detail.
- Support board and committee activities by arranging meetings, preparing materials, and tracking follow-up actions.
- Take meeting notes, prepare agendas, and monitor action items so decisions are followed through effectively.
- Act as a coordination hub between executives, internal teams, and outside contacts to support timely communication.
- Contribute to daily office operations and take on special projects that support department and organizational goals.
Candidate profile
Success in this role requires prior executive-level administrative experience in a busy environment where precision matters. You should be confident managing calendars, arranging travel, preparing expense reports, and keeping records in order.
Strong communication skills are essential, along with the ability to draft correspondence and meeting materials. The role also requires discretion when dealing with confidential information, solid proofreading ability, and dependable follow-through.
You should be comfortable balancing multiple priorities, meeting deadlines, and collaborating across functions using standard office and productivity software.
