Role Summary

The Facilities Manager will work remotely on a full-time basis and take ownership of the upkeep, safety, and smooth functioning of the organization’s facilities and physical assets. The position covers maintenance planning, coordination of repair schedules, vendor and service-provider management, and ensuring adherence to health, safety, and environmental standards. The role also includes monitoring facility performance, managing work orders, controlling repair and improvement budgets, and partnering with internal teams to address space and equipment requirements. In addition, the Facilities Manager will support remote staff with facilities-related needs, create and refine operating procedures, respond to incidents, roll out preventive maintenance practices, and assist with longer-term planning for upgrades and asset management.

Key Duties

Plan and oversee maintenance schedules for buildings, equipment, and other physical assets.
Manage relationships with vendors and external contractors, including coordination and negotiation where required.
Ensure facility operations comply with relevant health, safety, environmental, and building regulations.
Track work orders, monitor performance indicators, and identify maintenance priorities.
Prepare, review, and manage budgets for repairs, maintenance, and facility improvements.
Work with internal stakeholders to assess space needs, equipment requirements, and operational support requests.
Develop policies, procedures, and documentation that improve facility operations and standards.
Respond to facility incidents and help implement preventive maintenance and emergency response plans.
Contribute to long-range planning for facility upgrades, system improvements, and asset lifecycle management.
Support remote teams with facilities-related issues and ongoing operational requirements.

Qualifications and Expectations

Proven background in facilities management, building operations, or property management, with responsibility for maintenance and repair oversight.
Strong capability in vendor coordination, contract discussions, and managing outside service providers.
Working knowledge of safety, environmental, and building compliance requirements, along with risk-reduction practices.
Ability to control budgets, monitor spending, and use information to prioritize facilities work.
Comfort using facilities management systems, work order tools, and other digital platforms for remote operations.
Excellent organization, communication, and problem-solving abilities, with the independence needed for remote work.
Experience creating procedures and records for preventive maintenance, incident response, and facility standards.
Bachelor’s degree in facilities management, engineering, business, or a related discipline, or equivalent hands-on experience; professional credentials such as CFM or FMP are an advantage.
