Role Overview

The Manager, CEO Office supports the delivery of the CEO’s strategic priorities and organisation-wide initiatives. Acting as a coordination hub across teams, services, and stakeholders, the role turns plans into action, supports collaboration across functions, and helps move major projects from concept through to implementation.

The position calls for someone resourceful and analytical, able to gather research, data, and other information, think creatively, and bring together a range of stakeholders to advance executive priorities and organisational outcomes.

On a daily basis, this role keeps the CEO Office running smoothly and takes ownership of board management together with the CEO and Principal Secretary to the CEO. This includes managing the CEO office calendar, event schedules, logistics, and board meeting coordination. The role also acts as a bridge between internal groups such as employees and the Board, and external parties such as government agencies and funders, while ensuring follow-through on important executive decisions.

Key Responsibilities

  • Support the creation, coordination, and monitoring of annual work plans, strategic priorities, and key organisational deliverables.
  • Carry out environmental scanning and research on sector trends, opportunities, and risks that may affect the organisation.
  • Draft strategic papers, briefing notes, presentations, discussion documents, and recommendation materials for executive decisions.
  • Monitor the progress of strategic work and ensure action items and deliverables are followed up on promptly.
  • Coordinate communications and change initiatives that arise from CEO priorities.
  • Support CEO engagements, annual work plans, roundtables, town halls, and strategic dialogue sessions.
  • Help coordinate cross-functional teams to deliver organisation-wide projects that improve client outcomes and service delivery.
  • Support the design, rollout, and review of service integration initiatives and organisational improvement efforts.
  • Facilitate problem-solving discussions and help align stakeholders on organisational issues.
  • Map and improve processes to strengthen operational efficiency and collaboration between teams.
  • Assist with partnership management by building effective working relationships with internal and external stakeholders to advance organisational goals.
  • Support strategic partnerships and collaborative projects involving community, corporate, and government partners.
  • Handle sensitive communication and manage strategic interactions between the CEO, Board members, leadership, and staff.
  • Maintain and file important corporate records, governance policies, and leadership meeting documents for audit and reference.
  • Support Board management by helping the CEO and Principal Secretary prepare Board agendas.
  • Ensure Board meetings are properly prepared, minutes are taken, and action items are followed up.
  • Work with the Board secretariat to complete documentation and verify compliance with regulatory requirements.
  • Coordinate communication of updates such as contact-list changes with governing bodies.
  • Keep the CEO Office organised by managing schedules and priorities.
  • Provide administrative and operational support to the CEO and Principal Secretary.
  • Take on other duties assigned by leadership in support of strategic priorities.

Requirements

  • Bachelor’s degree from an accredited tertiary institution.
  • 3 to 5 years of relevant experience in project management, corporate planning, event planning, governance, consulting, or similar work.
  • Prior experience coordinating organisation-wide projects with multiple stakeholders.
  • Exposure to senior leadership support and governance processes will be an advantage.
  • Strong analytical and problem-solving ability.
  • Ability to connect ideas, people, and initiatives across different functions.
  • Solid project management and stakeholder management skills.
  • Comfortable working in uncertain situations and delivering outcomes independently.
  • Creative and innovative approach, with willingness to challenge existing methods and explore better solutions.
  • Strong writing, presentation, and communication skills.
  • Excellent organisational ability and close attention to detail.
