Role overview
This position focuses on coordinating the movement of candidates into new assignments so that projects begin as planned and clients experience a smooth, professional service. You will work remotely as the main connection point for candidates, internal teams, and outside stakeholders, helping ensure the period between offer acceptance and start date is managed efficiently.
About the role
As the Mobilisation Coordinator, you will oversee the full mobilisation journey for new employees and contractors. That includes handling onboarding, compliance, resourcing coordination, and related administration in a timely and accurate way. The role is central to candidate communication, keeping people informed, supported, and engaged throughout the process. Your work will influence delivery schedules, candidate experience, and service standards.
Key responsibilities
- Manage candidate mobilisation from offer acceptance through to day one, making sure each step is completed within the agreed timeline.
- Work closely with resourcing, recruitment, HR, and operations colleagues to coordinate start dates, project needs, and onboarding tasks.
- Stay in regular contact with candidates, offering updates, handling questions, and helping resolve any issues that arise.
- Maintain all required paperwork, checks, and approvals for mobilisation, ensuring records remain complete and correct.
- Draft and send mobilisation communications and information packs to candidates and relevant internal or external parties.
- Use internal systems and trackers to monitor progress, flag delays or risks, and put corrective actions in place where needed.
- Look for opportunities to improve mobilisation processes and suggest practical changes that remove inefficiencies or gaps.
- Deliver clear status reporting on mobilisation activity to management and project teams when required.
Requirements
- Previous experience coordinating work in recruitment, resourcing, or workforce planning.
- Strong candidate-facing communication skills, with the ability to build trust and maintain professional contact.
- Ability to juggle several cases or projects at once in a busy, deadline-driven environment.
- Excellent organisation, accuracy, and attention to detail in documentation and data handling.
- Confident working with stakeholders at different levels across remote and distributed teams.
- Comfort using digital tools, applicant tracking systems, and spreadsheets to manage workflows and reporting.
- Ability to prioritise effectively, meet deadlines, and solve problems proactively with limited supervision.
- Desirable: experience with mobilisation or onboarding in a recruitment agency or project-led setting.
- Desirable: familiarity with compliance, pre-employment checks, or contractor onboarding.
- Desirable: exposure to remote or international mobilisation, including coordination across time zones and locations.
- Desirable: experience contributing to process improvement or refining operational workflows.
- Qualifications: minimum education to A-level or an equivalent standard.
- Additional education in HR, Business Administration, or a related area is beneficial.
- Professional certification in recruitment, HR, or project coordination is preferred but not mandatory.
