Role Overview
This position is for an Office Administrator who will support the smooth running of day-to-day office operations. The role requires someone who can handle a wide range of administrative and coordination tasks, maintain accuracy, and support both internal teams and external vendors professionally. The assignment is a 1-year contract, with the possibility of conversion to a permanent position depending on performance.
Key Duties
- Manage routine office administration and related support tasks.
- Handle incoming and outgoing mail, maintain records, organise e-filing, and oversee contractor supervision where needed.
- Compile and reconcile monthly expense statements.
- Track office inventory and manage stock-related needs.
- Support contract administration work.
- Assist in planning the office budget.
- Carry out the annual review of office assets and complete asset tagging activities.
- Raise purchase orders, coordinate with suppliers and internal stakeholders, monitor invoices, and process payments.
- Ensure office equipment and facilities are properly maintained.
- Step in at reception whenever required.
- Take ownership of office administration matters and drive them through to completion.
- Assist with office decoration and related setup tasks.
Skills and Experience Needed
- Strong familiarity with office systems, procedures, and administration workflows.
- Proven experience in administrative support roles.
- Ability to manage multiple tasks efficiently with good time management.
- A proactive approach with strong attention to detail, accuracy, and problem-solving ability.
- Effective written and spoken communication skills.
- Good organisational, analytical, and planning capabilities.
- Comfortable working with Microsoft Office tools.
- Judicious decision-making and the ability to work discreetly.
- Experience handling confidential and sensitive information appropriately.
