Role overview

An established family-owned business in Basildon is looking for an organised and proactive Operations Administrator to help run the daily activities of a busy Operations Department. This position suits someone who works well in a fast-moving setting, can juggle several tasks at once, and takes a practical, solution-led approach to challenges.

The right person will already have exposure to operations, transport planning, logistics, or supply chain work. You should be comfortable dealing with suppliers and customers, keeping processes on track, and ensuring operational activity is completed accurately and efficiently. Strong accuracy, clear communication, and the ability to stay effective under pressure are all important.

Key duties

  • Keep supplier purchase orders and delivery dates updated in Pipedrive, making sure all records remain correct and current.
  • Maintain delivery schedules and order details in Google Sheets.
  • Serve as the primary contact for direct supplier deliveries and help resolve any issues that arise.
  • Document and follow up on action items from the weekly Operations Meeting.
  • Send end-of-day invoices to Accounts within the required deadline.
  • Arrange standard deliveries and installation appointments with customers.
  • Respond to routine customer queries relating to orders, deliveries, and installations.
  • Check in on completed deliveries and installations to collect customer feedback and record results for ISO compliance.
  • Reconcile delivery notes with matching orders for filing and documentation, including Proof of Delivery records.
  • Keep the Sales Team informed about supplier lead times on a regular basis.

Experience and skills needed

Applicants should have prior experience in an Operations Administration, Logistics, Transport Planning, Supply Chain, or comparable role. The job requires someone who is used to working in a busy environment where priorities can shift quickly.

Strong organisation, time management, and the ability to handle multiple tasks simultaneously are essential. You should also bring excellent written and verbal communication skills, a high level of accuracy, and a practical problem-solving mindset. Confidence using Microsoft Office and Google Workspace tools such as Excel, Word, Docs, and Sheets is expected. The role also calls for someone who can work independently while contributing effectively as part of a team.

Benefits

  • Annual salary of £28,000 to £32,000, depending on experience.
  • Profit-related bonus scheme.
  • Working hours are Monday to Friday, 7:30am to 4:30am, with a 1-hour lunch break.
  • 20 days of holiday plus bank holidays.

This is an office-based position, and the successful candidate will work on site with the wider team.
