Overview
Kirby Group Engineering is seeking a Project Planner to support the delivery of a data centre project in Germany. This is a permanent opportunity tied to a substantial workload expected to continue for more than five years. Role purpose
The planning team is being expanded to strengthen delivery on a major data centre project in Germany. In this role, you will partner with Project Managers, Engineers, and Commercial teams to keep programmes on track, within scope, and aligned to project risks. This position suits someone who is detail-focused, technically strong, and comfortable operating in demanding, fast-moving project environments.
Core duties
You will take ownership of planning support across the project lifecycle, from bid and early-stage scheduling through to progress control, reporting, and risk escalation. The role includes developing and maintaining construction programmes, coordinating with contractors, and helping the team align delivery plans with commercial budgets and site progress.

Project planning responsibilities
- Act as the main planning contact for the Project Manager on all project-related planning matters.
- Prepare schedules and histograms for bid support when required by the Lead Planner.
- Help implement the project planning process.
- Examine contract documents and confirm that scheduling and reporting obligations are fully addressed.
- Arrange planning meetings where needed.
- Check the high-level target schedule received from the Project Manager against emerging IFC project information.
- Improve the construction programme and create a pinch-point register to flag areas of disagreement with the main contractor or CMT programme.
- Create an initial labour-loaded target schedule and generate an S-curve.
- Submit schedules and all updates to the Lead Planner for review and approval.
- Develop a negotiation approach for managing main contractor programme risk and securing the best outcome for Kirby Group Engineering.
- Coordinate with the Project Manager and attend meetings with the main contractor or CMT to agree the optimum build sequence, then record and share minutes.
- Update the programme with agreed detail as it progresses.
- Support the main contractor or CMT in building an integrated overall schedule.
- Ensure the schedule remains labour-loaded and aligned with commercial budgets, and alert management to weeks with significant forecast progress.
- Prepare build methodology and phasing drawings.
- Present the latest schedule version to the construction team so everyone has a clear understanding of the plan.
- Support risk identification and mitigation activities.
- Serve as the point of contact for planning issues from the Project Manager.
- Monitor and refine schedules through the project’s planning and controlling phases.
- Provide early warning communication to project teams based on progress reports and site conditions.
- Advise teams on ways to improve project performance.
- Track package progress and efficiency for direct and subcontract work, and help produce labour man-hour completion forecasts with the Commercial Team.
- Chair and facilitate weekly site look-ahead meetings as needed.
- Measure, record, and consolidate installation progress for reporting purposes.
- Prepare weekly spent and earned man-hour efficiency reports with the Commercial Team.
- Compile and issue periodic progress reports for internal, external, and dashboard use.
- Produce weekly drop-line schedules with a two-week look-ahead and two-week retrospective.
- Maintain and revise the schedule as work progresses.
- Escalate risk items to the Lead Planner and Planning Manager.
Requirements
- A third-level qualification in Electrical Engineering, Mechanical Engineering, Building Services Engineering, Quantity Surveying, Construction Management, or a related technical trade background with strong technical ability will be considered.
- Ideally, you will have 3 to 5 years of experience, or clearly demonstrate the ability to create, implement, monitor, and control work plans.
- You must be able to develop project plans using design and commercial inputs.
- Hands-on experience with Microsoft Project, Primavera P6, or similar planning software is required, along with strong Microsoft Office skills.
- Excellent written reporting skills are essential.
- Strong time management is needed to keep pace with a busy schedule and reporting calendar.
