Role Overview
This position reports to the Supervisor, Events and Community Experience and focuses on coordinating, administering, and supervising a range of corporate and community events and initiatives. A key part of the role is helping create fair and accessible processes for residents.
The Coordinator will help deliver Town-led events and festivals such as Caledon Day, the Creative Arts Festival, the Town of Caledon Sport Hall of Fame, and the Diwali Drone Show. The role also supports community organizations and events, and serves as a main contact for corporate and community event delivery.
The position also supports the Caledon Events Advisory Team, which is a cross-departmental group that helps review, plan, and permit third-party community events in Caledon.
Key Duties
- Help deliver public events, cultural programming, and community initiatives that align with the Town’s strategic priorities and Recreation and Culture Strategy.
- Coordinate the planning and execution of major and seasonal events such as festivals, heritage celebrations, grand openings, and cultural showcases, with support from the Supervisor.
- Track project schedules, budgets, risk reviews, and evaluation methods to support successful event outcomes and community impact, with guidance from the Supervisor.
- Oversee site inspections for program spaces to help confirm safe operation and compliance with applicable safety rules.
- Handle customer concerns and complaints, maintain positive relationships with staff and residents, and escalate issues to the Supervisor when needed.
- Take part in the Caledon Events Advisory Team and assist third-party organizers with event planning and permitting processes.
- Hire, train, coach, and assess Volunteer and Casual Staff, while supporting performance improvement and goal achievement.
- Seek out funding, sponsorship, and grant opportunities to strengthen cultural and event programs, with support from the Supervisor.
- Prepare agreements with vendors, negotiate funding, and develop community service agreements with partners for projects that support Recreation and Culture strategy objectives.
Candidate Profile
The Town is looking for someone with a post-secondary degree or diploma in Recreation Studies, Community Engagement, Event Management, or a closely related field.
The preferred candidate should bring at least four years of related experience in event planning, including direct programming, plus at least one year of supervisory experience.
Standard First Aid and CPR C certification are considered an asset.
Strong customer service standards, clear verbal and written communication, the ability to reach sound agreements and decisions, and strong analytical and problem-solving abilities are important for success in this role.
The successful candidate must be comfortable working a flexible schedule that may include office-based, remote, and after-hours work as required.
Compensation and Hiring Conditions
The salary for this role is between $87,912.40 and $109,890.50, plus a competitive benefits package.
