Role Summary

The Data and Reporting Analyst is part of the Evaluation and Learning team and reports to the Data and Analytics Manager. The position plays a central role in data operations, Apricot case management system administration, funder and contract reporting, and HMIS data entry and quality assurance. It requires strong analytical thinking, careful attention to detail, and comfort handling operational and administrative data work.

Key Duties

  • Administer the Apricot case management system, including user accounts, access permissions, and ongoing report and form updates as business needs change.
  • Work with the vendor to resolve system issues and improve workflows.
  • Create documentation, train staff, and provide hands-on support for Apricot processes and data entry.
  • Help reduce administrative burden by simplifying forms and improving workflows where possible.
  • Prepare monthly, quarterly, and annual reports for funders in partnership with program and finance teams.
  • Maintain standard internal Power BI dashboards used to monitor performance and contract compliance.
  • Enter and maintain client information in HMIS for eligible contracts in line with funder and CoC requirements.
  • Perform routine data quality reviews to identify incomplete, incorrect, or delayed entries and support corrective action.
  • Assist with bulk data uploads when funder rules allow it.
  • Respond to information requests from internal staff and external partners, and help develop data summaries and presentations.
  • Carry out occasional original analysis for internal and external audiences.
  • Partner with program teams to ensure agency data remains accurate, reliable, and aligned with internal and external standards.
  • Support upkeep of the internal metrics dictionary.
  • Protect confidential information and follow secure data management practices across systems.
  • Support team, department, and organizational priorities, and take on other assigned duties as needed.

Qualifications

  • Bachelor’s degree in a related area such as data analytics, social work, public policy, or a similar field, or equivalent practical experience.
  • At least 1–2 years of experience in data, reporting, or program operations, preferably in nonprofit or social services settings.
  • Prior experience using a case management platform such as Salesforce or Apricot is required.
  • Strong Microsoft Excel skills and solid familiarity with the MS Office suite.
  • Excellent attention to detail with the ability to spot missing or inaccurate data and put fixes in place.
  • Clear oral and written communication skills, including the ability to explain data to non-technical audiences.
  • Demonstrated cultural competency and commitment to reducing barriers and fostering belonging.
  • Experience with HMIS and/or HUD data standards is a plus.
  • Experience with data visualization tools, especially Power BI, is preferred.
  • Availability for occasional evening and weekend work, plus some travel as required.

Benefits and Compensation

Benefits include 15 days of vacation in the first year, 12 sick days, 2 floating holidays, and 15 paid holidays.
