Role overview
HillBridge Consulting is hiring a remote Executive Assistant based in Nigeria to provide high-level administrative and personal support to the CEO. The role calls for someone who can operate with precision, discretion, and strong judgment while keeping a fast-moving executive agenda organized across business and personal priorities.
Core duties
- Take charge of the CEO’s calendar by organizing meetings, coordinating across different time zones, and resolving clashes quickly and effectively.
- Arrange domestic and international travel end-to-end, including flights, visas, and accommodation, while preparing backup plans for sudden changes.
- Join important executive meetings in person or virtually, capture clear minutes, monitor action items, and follow up persistently to ensure deadlines are met.
- Create and refine PowerPoint decks, executive summaries, and proposals from rough notes, briefs, or data shared by the CEO.
- Prepare polished business reports, board updates, and formal correspondence, maintaining a consistent and professional company tone.
- Manage incoming emails and messages on the CEO’s behalf, drafting responses when appropriate and escalating urgent items for direct attention.
- Keep a detailed tracker of delegated tasks, milestones, and deadlines spanning both business and personal commitments.
- Act as a reliable first contact for employees, partners, and external stakeholders, communicating clearly and diplomatically.
- Handle confidential corporate, financial, and personal information with complete discretion and sound ethics.
- Support personal errands, appointments, and administrative tasks while balancing executive business priorities.
Requirements
- A bachelor’s degree in Business Administration, Office Management, or a closely related discipline is required.
- At least 1 to 3 years of experience in an Executive Assistant, Personal Assistant, or comparable administrative support role is preferred, especially experience supporting senior leaders.
- Strong working knowledge of Microsoft Office applications, Adobe Acrobat, CRM platforms, project tracking tools, and calendar management software such as Google Calendar and Microsoft Planner.
- Ability to use AI productivity tools such as Claude and Copilot to speed up research and workflow execution.
- Excellent planning and multitasking ability, with a proven record of handling overlapping priorities and deadlines.
- Sharp attention to detail, particularly in writing, proofreading, and preparing executive-level materials.
- Strong communication and interpersonal skills, with the professionalism needed to work with senior stakeholders and corporate partners.
