About the role
Natixis Investment Managers Singapore is looking for an Executive Assistant to support the Chief Executive Officer with high-level secretarial assistance, while also helping with broader administrative needs across the Singapore office.

What you will do
- Provide direct administrative and secretarial support to the CEO.
- Handle diary coordination, scheduling, and calendar planning.
- Organize business travel and related logistics.
- Plan and coordinate activities such as events, meetings, townhalls, client functions, client travel plans, and internal gatherings.
- Arrange executive roadshows.
- Prepare briefing materials, compile information, and gather documents needed for meetings and other activities.
- Support expense claims, invoicing, and similar administrative tasks.
- Take ownership of ad hoc project coordination as needed.
- Help keep the office running efficiently on a day-to-day basis.
- Oversee office facilities and general administrative functions.
- Manage teleconference and video conference facilities and rooms.
- Track and replenish printers, stationery, and other office supplies.
- Coordinate with vendors and suppliers.
- Set up meetings, teleconferences, and video conferences.
- Support onboarding and offboarding activities for new employees.
- Monitor incoming and outgoing couriers and dispatches.
- Assist with events for sales and distribution teams.
- Work with vendors, hotels, and venue partners for bookings and arrangements.
What we are looking for
- A degree or higher qualification in business administration or a related field.
- At least 10 years of experience in secretarial and/or administrative roles supporting senior management and C-suite leaders, ideally within international financial services organizations.
- Strong communication and interpersonal abilities.
- The capacity to work autonomously and handle pressure effectively.
- Excellent organizational skills and advanced Microsoft Office capability.
- English fluency; knowledge of another Asian language is a plus.
