Role overview
A major global commercial insurance company in Midtown Manhattan is looking to hire a full-time, permanent Executive Assistant to work closely with the CEO. The right candidate will be a highly polished, trusted partner who can thrive in a demanding, fast-moving environment and handle constant change with confidence and discretion.
This position calls for someone with 7–10+ years of experience supporting senior or C-level leaders, along with a bachelor’s degree that is required or strongly preferred. The ideal person must be based in New York City and be comfortable working in office five days a week.
Compensation and schedule
Pay is based on experience, with a base salary range of $150,000 to $175,000+, plus eligibility for paid overtime and a discretionary bonus. Standard working hours are 8:30 AM to 5:30 PM, but the role requires flexibility for extended hours, after-hours email monitoring, and occasional weekend check-ins related to travel. This is a fully in-office position, five days per week.
What you will do
You will serve as the CEO’s primary administrative partner, managing day-to-day priorities, communication flow, and scheduling with a high level of accuracy and confidentiality. The role also involves acting as a key point of contact between the CEO and internal and external stakeholders, including board members, senior executives, investors, and business partners.
You will be expected to think ahead, solve problems before they escalate, protect sensitive information, and maintain seamless coordination across global time zones. The position also includes travel planning, meeting preparation, expense processing, follow-up tracking, and support for special projects.
Requirements
Applicants should have at least 7 years of experience supporting a front-office C-level executive, with 7–10+ years being the desired background. A bachelor’s degree is required or strongly preferred.
Success in this role also depends on a calm, adaptable, and highly professional approach in high-pressure settings. Strong judgment, emotional intelligence, excellent organization, and the ability to juggle several priorities at once are essential. Candidates should be exceptionally discreet, resourceful, proactive, and comfortable handling ambiguity and urgent requests.
Responsibilities
- Provide high-level executive support to the CEO, including scheduling, communications, and day-to-day administrative coordination.
- Serve as a trusted liaison and gatekeeper for interactions with internal teams, board members, investors, partners, and other external contacts.
- Stay ahead of needs, address issues proactively, and manage confidential matters with strict discretion.
- Oversee calendar planning across multiple global time zones.
- Draft agendas, briefing documents, presentations, and action-item follow-ups.
- Coordinate complex domestic and international travel arrangements on short notice, including flights, hotels, ground transport, and visas where needed.
- Adjust itineraries quickly and handle schedule disruptions with composure and efficiency.
- Complete and submit accurate expense reports in line with company policy.
- Remain highly responsive and accessible when business needs require support outside normal hours.
- Handle urgent requests professionally and without losing focus.
- Monitor deadlines, priorities, and commitments to ensure nothing falls through the cracks.
- Work in close partnership with other executive assistants and internal teams to keep operations aligned.
- Oversee local facilities support services.
- Assist with special projects and ad hoc assignments as needed.
