Role Overview
The Facilities Manager is responsible for keeping the site portfolio running smoothly by delivering facility services that are efficient, high quality, and cost conscious. The role supports business requirements and helps improve both immediate and long-range asset performance through maintenance oversight, supplier coordination, lifecycle planning, energy reduction efforts, and collaboration across teams.
This is a hybrid position based in the New York Support Office and reporting to the Facilities & Procurement Manager.
Key Responsibilities
- Own the full facilities management scope, covering energy and utilities, cleaning, waste and pest control, technical installations, general building upkeep, and shopfitting maintenance.
- Serve as the category lead for FM, setting direction and standards, guiding suppliers, reviewing performance, and improving cost and quality across the portfolio in line with the global FM strategy.
- Support or lead sourcing and procurement activities for facility service providers, while partnering with the Procurement Specialist as needed.
- Make sure contracts are followed and that landlords and service providers deliver the expected level of service.
- Track portfolio condition, identify capital needs, and plan actions that extend asset life and strengthen lifecycle results.
- Contribute operational input for new store openings and rebuilds to support long-term cost and quality outcomes.
- Build and maintain facility plans that satisfy internal and external requirements while balancing planned and reactive work.
- Ensure facility services and projects in the Sales Market portfolio are delivered according to agreed requirements and planned actions.
- Confirm that health and safety rules are followed in coordination with suppliers and the local security team.
- Act as a service partner to brands and sites, delivering responsive and dependable support.
- Keep asset records, reactive work data, and PPM information current in the global FM system (Planon), including lifecycle Capex/Opex planning and project documentation.
- Improve system automation and maintain strong asset data quality.
- Monitor actual spending against budget and assess quality performance against defined measures.
- Track and report site energy use, and support initiatives that lower energy consumption and cost in line with global targets.
- Align facility work with business priorities and recommend practical solutions as requirements evolve.
- Work with the Sales Market C&F Manager to turn market facility strategy into operational actions.
- Partner with Sales Management and Operations to understand business needs and convert them into facility plans and deliverables.
- Collaborate with Global C&F to improve portfolio efficiency and strengthen cost and quality performance.
- Take part in FM forums and contribute to sharing best practices.
What You Bring
- A bachelor’s degree in Engineering, Business Administration, or another relevant discipline.
- Facility management and project management certifications are an advantage.
- Strong capability in supplier management and contract oversight.
- An analytical, data-led mindset with solid troubleshooting ability.
- Confidence using MS Office tools.
- Advanced written and spoken English.
- At least 3 years of experience in facility management, construction, and/or real estate.
- Hands-on experience with activity-based budgeting and operational planning.
- Ability to manage external suppliers and ensure contractual commitments are met.
- Energy management experience is considered an advantage.
- Retail experience and exposure to a large international organization are also preferred.
- A communication style that is consultative, collaborative, pragmatic, resilient, flexible, and solution focused.
Compensation and Employment Details
This is a salaried, exempt role with an annual compensation of $88,800. The company notes that the position may ultimately pay more or less depending on the candidate’s qualifications, and the posted range may change in the future.
