Overview
The Marion County Clerk’s office, created under the Indiana Constitution, is responsible for safeguarding court records, issuing marriage licenses, and handling the court’s financial administration, including child support trust funds. The Election Board also supports the local election process by accepting nominations and petitions, preparing ballots, and maintaining voting equipment. Both offices emphasize a coordinated, respectful, and compliant workplace focused on serving Indianapolis and Marion County residents.
Role Summary
This position performs a broad set of clerical duties within case management systems. The role involves receiving and handling legal filings for the court, following established procedures, and keeping work accurate, organized, and timely. The incumbent is expected to work well with others while also being capable of making sound independent decisions. A strong understanding of the Clerk’s Office, its functions, and how it interacts with related agencies is important.
The role also requires detailed knowledge of the rules governing legal document filing, court proceedings, access to court services, availability of court records with special attention to confidential records, and the handling of fees and payment transactions.
Key Responsibilities
- Accept, log, and process filings, correspondence, inquiries, transcripts, and related documents in the case management system.
- Handle legal filings for multiple courts with accuracy and within required timelines.
- Organize and route documents through work queues.
- Carry out court orders and ensure they are processed correctly.
- Keep party details and contact records updated in the case management database.
- Coordinate effectively with judges, court staff, attorneys, and other public-sector employees.
- Perform additional related duties as assigned by management when needed.
Qualifications
A high school diploma or equivalent is required, along with at least 2 years of prior clerical experience. The role calls for strong oral and written communication skills, careful attention to detail, the ability to work independently with limited supervision, and a cooperative, team-oriented approach.
Applicants with an associate degree or comparable post-secondary education are preferred. Prior clerical experience in a court or similar legal environment is also an advantage.
Working Conditions
The job is carried out in an office environment and does not typically involve exposure to harmful or adverse environmental conditions.
Physical Requirements
- Most of the workday is spent seated at a desk.
- Occasional lifting, carrying, pushing, or pulling of light items weighing about 5 to 10 pounds may be required.
- Extended time at a keyboard or workstation may be necessary.
- The role requires the ability to notice sounds and visual cues or signals.
- Clear oral communication is required.
