The ideal person will bring creative problem-solving ability, strong critical thinking, excellent communication and organisation, and a careful, discreet approach when handling sensitive and complex information. A strong sense of fairness and a sharp eye for detail are essential.

About Victoria University

Victoria University (VU) is an impact-focused university with a strong commitment to equity, excellence and opportunity. From Melbourne’s west, and connected to partners worldwide, VU puts students first through the VU Block Model®, dual-sector pathways and strong industry relationships. The university promotes an inclusive, values-led culture where people from diverse backgrounds are encouraged to contribute meaningfully.

About the team

The Central Timetable Unit manages the preparation and upkeep of all teaching timetables across the university, working closely with the Colleges and TAFE. The team also handles bookings for teaching spaces used for ad-hoc activities and supports Space Planning with building works coordination and room utilisation reporting.

About the role

In this position, you will help create and maintain university class timetables while also coordinating room reservations. You will collaborate with academic colleges, TAFE and other stakeholders to deliver practical scheduling outcomes that make the best use of available space and support strong learning environments.

The role also involves contributing to space planning analysis, resolving timetable issues, and assisting users through the university Timetable Helpdesk.

Key duties

  • Prepare and release the semester timetables twice a year in partnership with colleges and other stakeholders.
  • Set up classes for student allocation in the MyTimetable platform.
  • Generate timetable reports and model different scenarios to assist space planning.
  • Oversee room bookings and answer scheduling-related enquiries.
  • Carry out physical checks of teaching rooms and keep inventory records up to date.
  • Work with internal teams to reduce disruption during planned maintenance and capital works.

Position details

This is a continuing, full-time role classified at HEP 6. The standard workload is 36.75 hours per week. The role is based at Footscray Park Campus, with work at other VU campuses as needed.

Salary is $91,796 to $99,361 per year, plus 17% employer superannuation.

About you

You are a practical, solutions-oriented professional who can balance multiple priorities and communicate well with different stakeholder groups. You are comfortable working with data and using systems knowledge to solve complex scheduling issues.

To succeed, you should have familiarity with tools used in Student Services & Administration, especially Student One, Allocate Plus and Timetable Planner. You should also have a strong understanding of academic programs and structures, along with well-developed organisational ability to manage competing deadlines and use initiative to improve outcomes.

Child safety and clearance requirement

Victoria University is a Child Safe organisation. Before starting, you must either hold a current Employee Working with Children Check (WWCC) or be prepared to obtain one.

Application requirements

Your application must be submitted as one combined document and include:

  • A cover letter
  • A current CV or resume
  • Responses to all selection criteria listed in the position description
  • Evidence of relevant qualifications, licences and registrations

Applications close on Friday 10 July 2026 at 11:59 pm. The vacancy may close sooner if a suitable candidate is found, so early applications are encouraged.

The university values First Nations perspectives and sustainable approaches to caring for Country, and supports Aboriginal and Torres Strait Islander peoples, people with disability, culturally and racially marginalised communities, LGBTQIA+ people, and people across all ages and socio-economic backgrounds.
