About the role
Wahat Al Bastakia Investment LLC, part of Tanama Holding, is looking to hire a skilled and reliable Admin / Service Support professional for a high-profile PPP building project in Dubai. This role suits someone who is comfortable handling administration, documentation, follow-ups, and coordination within facility and property management environments.
The position is based in Dubai, Al Souk Al Kabeer Area, in an office setting. UAE residency is mandatory for applicants.
Key responsibilities
- Monitor contractor delivery for parking O&M, TFM, and security services by checking performance against SLA and KPI targets.
- Review contractor submissions and compile performance summaries for ownership review.
- Organize and maintain contracts, SLAs, KPIs, and compliance-related documents in an accurate and audit-ready format.
- Ensure all records are complete, well maintained, and ready for internal or external audit checks.
- Examine contractor invoices and confirm they align with contract terms and service-level commitments.
- Track lease documentation, approvals, and related records throughout the process.
- Coordinate with tenants on lease closure, fit-out needs, and inspection scheduling.
- Handle tenant cheque management, including advance payments, rent cheques, and post-dated cheques.
- Work closely with the Finance team for cheque transfer, monitoring, and reconciliation.
Role requirements
- A Diploma or Degree in Facility Management, Business, Real Estate, or a related discipline.
- Between 2 and 4 years of experience in facility management, property management, or client-side operations.
- Practical exposure to SLA/KPI tracking, contract administration, invoicing checks, and leasing coordination.
- Working knowledge of CAFM platforms such as Maximo or Concept.
- Strong verbal and written communication abilities, along with coordination and follow-up discipline.
- Confident use of MS Office tools, especially Word, Excel, PowerPoint, and Outlook, for reporting and data tracking.
- Well-developed organizational ability and a sharp eye for detail.
