Role Summary
The company is looking for a highly organized, proactive, and flexible Business Assistant to work directly with the Managing Director. This is a full-time, office-based role in Dublin with regular travel. The successful candidate will be the Managing Director’s day-to-day support partner, helping keep travel, scheduling, meetings, and administrative priorities running smoothly.
Key Responsibilities
- Accompany the Managing Director on frequent trips across Ireland, the United Kingdom, and Finland, managing travel-related coordination and on-the-ground logistics.
- Oversee a complex calendar, arrange travel bookings, and make sure the Managing Director is prepared for client meetings and site visits.
- Join important meetings to record detailed notes, capture action points, and track follow-up tasks after discussions.
- Serve as a professional point of contact for clients and internal teams by drafting emails and other correspondence when needed.
- Build and format presentations, briefing packs, and reports for key business meetings and engagements.
- Take care of day-to-day administrative tasks and resolve travel or scheduling issues quickly so leadership can stay focused on strategic work.
Candidate Profile
This position suits someone who can manage shifting priorities, travel frequently at short notice, and operate with discretion in a fast-paced business setting. A valid passport is required because the role involves regular international travel.
Recruitment and Training Notice
Candidates who progress past the second interview stage must be able to attend a mandatory 3-day training and assessment period in Belgium. The company will cover travel and accommodation for this period in full.
