Overview
This is a permanent, full-time opportunity with the constituency office of Lori Idlout, MP for Nunavut, based in Iqaluit, Nunavut. The role supports the day-to-day functioning of the office and helps ensure constituents receive timely, sensitive, and effective service. Travel may be required, and the schedule can include occasional long days and some weekends.
Key Responsibilities
- Organize, review, prioritize, and route the Member’s email and other communications so information reaches the right people quickly and efficiently.
- Maintain the Member’s calendar, coordinate meetings and events, and keep the Member informed of schedule changes and upcoming commitments.
- Prepare correspondence for Ministers and other stakeholders when needed.
- Manage scheduling, travel planning, appointments, conferences, and briefing materials to keep the Member’s agenda current and well supported.
- Provide administrative and business support to the Member and staff to keep office operations running smoothly and aligned with office priorities.
- Create and maintain tracking systems for requests, questions, deadlines, and file distribution.
- Serve as the first point of contact for constituents seeking help with matters such as immigration, Canada Revenue, and Old Age Security files, offering information, advice, and support by phone, in writing, and in person.
- Contact government services on behalf of constituents, follow up on national programs, and work toward resolution while managing files with confidentiality, sensitivity, and timeliness.
- Draft replies to constituent emails and letters on policy and casework matters.
- Support special projects that improve the efficiency and effectiveness of office administration.
- Carry out other related duties within the scope of the role.
Qualifications
- Excellent organizational ability and strong administrative skills.
- Comfort working under pressure, handling changing priorities, and responding to short-notice needs.
- Strong judgment, tact, and interpersonal skills when dealing with the public and external stakeholders.
- Clear and concise written and verbal communication skills.
- Strong analytical thinking, close attention to detail, and solid problem-solving ability.
- Good understanding of the Canadian parliamentary system and federal political issues.
- Proficiency with Microsoft Office applications.
- Self-directed mindset with initiative and a willingness to learn.
- Previous experience in an office environment providing reception or administrative support.
- Post-secondary education from a recognized institution, or an acceptable mix of education, training, and relevant experience.
- Ability to speak Inuktitut is highly preferred.
Employment Details
Annual salary: $80,000, subject to clauses 12 and 21 of the collective agreement.
Closing date: April 19, 2024 at midnight.
Start date: As soon as possible.
