Role Summary
The Executive Assistant will provide senior-level administrative and operational support to the Chief Product Technology Officer (CPTO), helping improve focus, efficiency, and follow-through on key priorities. This position also serves as the main contact for the San Mateo office, keeping the workplace organized, welcoming, and running smoothly.
Reporting directly to the CPTO, the role combines executive coordination with office management. The right candidate is highly organized, uses strong judgment, stays ahead of needs, and performs well in a fast-changing environment where each day can look different.
Key Responsibilities
- Run the CPTO’s demanding calendar, meeting rhythm, and scheduling priorities.
- Arrange domestic and international travel, build itineraries, and manage expense submissions.
- Draft meeting agendas, assemble presentation materials, and keep action items moving forward.
- Filter and prioritize communications while acting as a reliable representative for the CPTO.
- Handle sensitive information with a high level of discretion and professionalism.
- Look ahead to executive needs and quickly address scheduling or operational issues.
- Manage the day-to-day functioning of the San Mateo office to maintain an organized, productive, and welcoming workspace.
- Coordinate office vendors, supplies, facility requests, and workplace support services.
- Organize onsite meetings, executive visits, team gatherings, and office logistics.
- Work with IT, Facilities, People Operations, and Finance on onboarding, equipment, workspace planning, and employee experience projects.
- Find ways to streamline office operations and put better workplace processes in place.
- Assist with special projects and operational efforts for the Product & Technology organization.
Candidate Profile
The ideal candidate brings 4–6 years of experience supporting senior executives, preferably in a high-paced technology setting. They should be comfortable handling complex calendars, travel arrangements, executive logistics, and office operations.
Strong organization, time management, written communication, verbal communication, and sound judgment are essential. The role also requires discretion when managing confidential matters, the ability to solve problems before they escalate, and the confidence to work with limited direction. Familiarity with modern productivity and collaboration tools is expected.
Compensation
Total target compensation is $120,750 to $149,500. This includes a fixed annual salary of $105,000 to $130,000, an employee equity grant, an annual bonus, and a full benefits package. Equity awards are provided in good faith and remain subject to company policies, board approval, and individual eligibility.
