Role Overview
This opportunity is with a fast-growing entrepreneurial business that needs a versatile professional to support both executive operations and human resources administration. The position is designed for someone who enjoys being a dependable point of contact, keeping information organized, and helping teams work more effectively. You will work closely with the founders and leadership team in a fully remote environment, contributing to structure, communication, employee support, and overall operational flow.
The role blends executive assistance, HR coordination, employee engagement, and administrative support. It is a strong fit for someone who likes variety, can juggle competing priorities, and takes satisfaction in being the person who keeps things moving behind the scenes.
Executive Support
- Coordinate calendars, meetings, and scheduling needs for founders and senior leaders.
- Arrange business travel and prepare itineraries.
- Review incoming emails and help surface priorities.
- Draft meeting agendas, capture notes, and track follow-up actions.
- Assist with document preparation and other administrative assignments for leadership.
- Act as a reliable organizational partner who helps advance key priorities.
HR Administration
- Respond to employee questions related to benefits, PTO, payroll coordination, and company policies.
- Manage onboarding and offboarding coordination.
- Maintain employee files and HR documentation.
- Support benefits administration and internal employee communications.
- Help coordinate performance review processes and related employee workflows.
- Work with leadership and outside HR support when employee matters need attention.
- Keep HR processes structured, compliant, and consistent.
Employee Engagement and Internal Coordination
- Organize recognition activities, birthdays, anniversaries, and special celebrations.
- Assist with company meetings, virtual gatherings, and engagement efforts.
- Support internal updates and employee announcements.
- Contribute to a positive, connected culture across a fully remote team.
Operations and Administrative Support
- Coordinate vendors and external service providers.
- Maintain organizational systems, records, and documentation.
- Support ongoing business initiatives through strong communication and follow-through.
- Help leadership build stronger structure, accountability, and operational efficiency.
Qualifications
The ideal candidate brings at least 3 years of experience in executive support, HR administration, office administration, people operations coordination, or a comparable role. Prior support for executives, founders, or senior leaders is important. The role also calls for strong organization, time management, clear communication, discretion with confidential information, and the ability to manage several priorities accurately and professionally.
Experience supporting remote teams is needed. Familiarity with HRIS platforms, payroll systems, or employee management tools is preferred, along with exposure to onboarding, benefits administration, employee communications, or recruiting coordination. Experience in entrepreneurial or founder-led environments is also valuable.
