Role overview
We are looking for an Executive Assistant to support the Head of Barclays Private Banking and Wealth Management (UK & Crown Dependencies), a Managing Director and member of the PBWM Executive Committee. This is a high-energy position that calls for strong prioritisation, initiative, and the confidence to influence stakeholders in a busy environment.
What you will do
You will take ownership of complex diary coordination, manage a busy inbox end to end, and make sure the executive’s time is used efficiently. The role also includes full travel coordination, expense handling, cross-border approvals, and keeping a balanced flow between planned meetings and day-to-day demands.
Key responsibilities
- Maintain and coordinate calendars for executives, managers, or teams, and manage responses to meeting invitations and scheduling requests.
- Arrange end-to-end travel, including flights, accommodation, and local transport, ensuring trips are planned efficiently.
- Anticipate priorities in advance, organise tasks effectively, and ensure work is completed on time.
- Handle core administrative tasks such as expenses, filing, office supply orders, annual leave tracking, distribution lists, and organisation records.
Experience and strengths needed
- Strong background in extensive diary management.
- Excellent planning, organisation, and time management ability, with careful attention to detail and a consistent approach to confidentiality.
- Good relationship-building skills and the ability to work well with a wide range of people, situations, and team environments.
- Clear verbal and written communication skills, with the ability to stay effective in a fast-moving workplace.
- Substantial experience handling large volumes of executive inbox traffic, including triaging, prioritising, and replying on behalf of senior leaders with sound judgement and discretion.
- Ability to support senior stakeholders and their teams, including preparing materials and helping deliver presentations for senior leadership forums.
Nice-to-have experience
- Prior experience in a financial services or banking environment is preferred.
- Experience creating meeting minutes, agendas, correspondence, and presentations to strict deadlines.
- Calm, approachable manner with the ability to juggle multiple tasks under pressure and within tight timelines.
- Proven success as a gatekeeper for senior executives and managing high-volume inboxes.
Work arrangement and expectations
This position is based in London and requires onsite attendance for at least 3 days each week. Because the role is fast-moving and highly responsive, occasional support outside normal working hours may be needed.
Purpose of the role
The objective of the role is to provide administrative and organisational support to executives, managers, or teams. You will act as a trusted point of contact, keeping schedules coordinated, tasks on track, and communication professional and seamless.
Accountabilities
- Keep executive calendars organised and ensure meeting requests are responded to promptly.
- Plan and book travel itineraries with attention to timing and efficiency.
- Stay ahead of needs by prioritising tasks and helping ensure deliverables are completed on schedule.
- Manage administrative duties including expenses, filing systems, supply orders, annual leave records, distribution lists, and organisation-related administration.
