Role Summary

Reporting to the Chief Investment Officer, the Executive Assistant, Investments will act as a dependable administrative and operational partner to the CIO and the Investments team. The position supports executive scheduling, meeting and travel coordination, presentations, events, and day-to-day departmental operations while helping the team work efficiently and stay aligned across the organization.

Key Responsibilities

  • Maintain calendars and coordinate scheduling for the CIO and Investments team.
  • Organize internal and external meetings, including agendas, supporting materials, logistics, and follow-up tasks.
  • Book travel, lodging, itineraries, and expense reports.
  • Create, edit, and format presentations, reports, briefing documents, correspondence, and other business materials.
  • Assist with investment committee packets, board presentations, and executive communications.
  • Keep departmental records, files, and organizational systems up to date.
  • Act as a primary contact for internal and external stakeholders.
  • Provide administrative and operational support to the Investments team.
  • Coordinate team meetings, retreats, planning sessions, and other department activities.
  • Track deadlines, deliverables, and action items.
  • Help with vendor coordination, procurement requests, and related administrative tasks.
  • Look for ways to streamline workflows and improve operational efficiency.
  • Plan and coordinate meetings, conferences, investor events, off-sites, and team gatherings in New York.
  • Manage event details such as venue selection, catering, attendee communications, registration, and materials preparation.
  • Coordinate executive visits and stakeholder meetings.
  • Support organization-wide events alongside Administration and People & Culture.
  • Work with Administration on office operations and event coordination.
  • Partner with IT on equipment needs, technology requests, onboarding, and meeting support.
  • Support the use of productivity and collaboration tools.
  • Collaborate with People & Culture on onboarding, recruiting coordination, employee engagement activities, and training logistics.
  • Assist with special projects and cross-functional initiatives as needed.

Required Qualifications

  • Bachelor’s degree plus at least 4 years of professional experience, or an equivalent mix of education and directly relevant experience.
  • Background in executive-level administrative support.
  • Strong command of Microsoft Office tools, especially PowerPoint, Excel, Outlook, and Word.
  • Solid technical ability and the capacity to learn new systems quickly.
  • Experience preparing polished presentations, reports, and executive-facing communications.
  • Excellent organization, communication, and project coordination capabilities.
  • Ability to handle several priorities at once without losing accuracy.
  • Good judgment, professionalism, discretion, and comfort handling confidential information.

Preferred Experience

  • Prior support experience in investment, finance, nonprofit, or mission-driven environments.
  • Experience organizing meetings, conferences, and executive-level events.
  • Exposure to collaboration and project management tools such as Asana, Smartsheet, SharePoint, Teams, Zoom, or Salesforce.
  • Experience supporting senior leadership teams and board-related work.

Compensation and Benefits

The salary range for this position is $117,715 to $132,549. Final pay will depend on experience, skills, and overall qualifications.

This role may also qualify for bonus or incentive pay.
