Role Summary
The Office Manager will own workplace and operational delivery for the India office from end to end. The position is accountable for ensuring smooth functioning across facilities, vendor oversight, compliance, travel support, employee benefits, asset control, budgeting, and engagement activities.
This role acts as the main coordinator for workplace operations in India and works closely with leadership, HR, Finance, IT, vendors, and global teams. Success in this role depends on strong ownership, organized execution, stakeholder coordination, and the ability to balance compliance requirements with a positive employee experience.
Key Responsibilities
- Take full responsibility for workplace and facilities operations across the India office.
- Oversee office infrastructure, space planning, cleanliness, safety, and general administration to maintain an efficient and secure workplace.
- Handle vendor governance, including onboarding, contract administration, SLA tracking, renewals, compliance monitoring, and performance reviews.
- Support cost control through disciplined vendor negotiation and procurement processes for both IT and non-IT needs.
- Maintain audit-ready records and ensure compliance with statutory and internal requirements across facilities, vendor agreements, benefits, and operational workflows.
- Adapt global workplace, travel, and benefits policies for India-specific regulations and business requirements.
- Coordinate domestic and international travel arrangements, including flights, hotels, and visa-related assistance for employees and leadership.
- Organize India-based events such as town halls, offsites, leadership visits, and employee engagement programs.
- Manage employee benefits administration end to end, including Group Mediclaim (GMC) and Term Life Insurance.
- Track operational budgets and spending, assist with forecasting, and ensure vendors are paid on time and reimbursements are processed in coordination with Finance.
- Maintain asset records, inventory control, documentation, and periodic audits throughout the asset lifecycle.
- Identify opportunities to improve processes, reduce turnaround time, raise service quality, and strengthen employee experience.
- Work closely with leadership, HR, Finance, IT, global teams, and external partners to deliver operations smoothly.
- Spot operational risks early and put mitigation actions in place to support business continuity.
Experience and Qualifications
The role calls for 4 to 6 years of overall experience in office administration, facilities management, workplace operations, or corporate services. Candidates should have worked independently on vendor coordination and office operations, and should also have exposure to travel coordination, event logistics, and employee support services.
Basic contract management, SLA tracking, vendor follow-up, and coordination with Finance for invoice handling and budget monitoring are also expected. Experience in a structured corporate or mid-sized organization will be an advantage.
