Role Overview

The Procurement Specialist will support daily procurement operations while helping improve documentation standards, workflow discipline, and system organization. This position manages subcontractor and vendor records, drafts initial versions of scopes of work and proposal/quote requests, and supports data administration in GRC’s systems. The role requires strong capability in reading, drafting, and negotiating legal contract language, and will work closely with Finance and Operations to maintain compliance and accurate data as the business grows.

Key Responsibilities

Procurement and Vendor Support

  • Assist with the full onboarding process for subcontractors and vendors, making sure required documents are gathered and validated.
  • Monitor subcontractor certificates of insurance, record renewals and maintenance details, and support basic compliance tracking.
  • Keep procurement and vendor management records current and accurate.
  • Review data and market patterns to help guide purchasing choices and recommendations.
  • Help build and maintain productive relationships with vendors and subcontractors.
  • Examine contract terms and conditions, and identify opportunities to negotiate better alignment with company standards and objectives.
  • Research, evaluate, and help qualify new subcontractors and vendors.

Scope of Work and RFP/RFQ Support

  • Draft initial versions and format scopes of work and request-for-proposal/request-for-quote documents for review by the Director of Procurement.
  • Prepare bid and proposal comparisons and recommend actions based on bid priorities.
  • Make sure documents are complete, well organized, and ready for review, while helping gather needed information from internal teams or external vendors and subcontractors.

Systems, Reporting, and Data

  • Provide basic reporting on spend, vendor and subcontractor counts, and contract status.
  • Spot inconsistencies or missing information in procurement and vendor relationships and escalate issues for resolution.

Cross-Functional Support

  • Work with Finance and Operations on daily tasks such as closing open projects, reconciling invoices, and supporting material tracking, purchasing, and spend management.
  • Assist internal teams with questions about vendors, contracts, and document workflows.
  • Deliver administrative and data support that helps advance strategic procurement initiatives.

Required Qualifications

  • At least 1–2+ years of experience in administrative, operations, or procurement support work.
  • Well-developed organizational ability and strong attention to detail.
  • Hands-on experience reviewing and drafting legal terms and conditions.
  • Comfort working with construction terminology or related industry knowledge, which is considered an advantage.
  • Ability to manage several tasks at once while maintaining accuracy and follow-through.
  • Confidence using spreadsheets with formulas and lookup functions for analysis.
  • Ability to learn procurement systems and procedures quickly.
  • Strong written and verbal communication skills with a collaborative working style.

Preferred Qualifications

  • Exposure to GIS software and mapping tools used for permitting.

Additional Information

Compensation: The role offers a salary range of $70,000 to $80,000 plus a 10% bonus.
