Role summary
The Project Coordinator will assist the Commercial Operations and PrecisionQ (PQ) teams by managing coordination, operational tracking, documentation, reporting support, and process upkeep. This position requires someone who can handle multiple priorities, work independently, and keep workstreams organized and moving on time.
Key duties
- Provide coordination and operational support to the Commercial Operations and PQ teams across project management, revenue tracking, reporting, and process-related work.
- Monitor project and operational activity in real time, spot possible delays or risks early, and escalate issues when needed so deliverables stay on schedule.
- Build, update, and refine trackers and dashboards used to follow timelines, deliverables, revenue recognition, and performance metrics.
- Support revenue recognition, invoice milestone tracking, and contract deliverable monitoring in line with project schedules.
- Work with finance and operations teams to compare project progress with forecasts, assist with revenue reporting, and keep revenue recognition records well organized.
- Look for bottlenecks or inefficiencies and help improve the speed and consistency of program delivery.
- Help create, maintain, and share SOPs, templates, and best-practice materials, while identifying opportunities to make workflows more efficient.
- Make sure the team uses current materials, templates, and procedures consistently.
- Coordinate with internal stakeholders to align timelines, dependencies, and deliverables.
- Serve as a central coordination point for Commercial Operations and PQ communication across multiple workstreams.
- Arrange meetings, prepare agendas, capture minutes, coordinate contract execution, and create, review, or distribute deliverables as needed.
- Prepare status updates and summary reports for leadership and team review when requested.
- Keep project files and records organized, including contracts, meeting notes, and deliverables, and recommend improvements to workflows, templates, systems, and related processes.
- Maintain professionalism and confidentiality in all work.
Requirements
- A bachelor’s degree in business administration, project management, or a closely related discipline.
- At least 2 years of experience in project coordination, operations, administration, or a similar role.
- Strong organizational ability with careful attention to detail.
- Collaborative mindset, team-oriented approach, and willingness to grow.
- Comfort working in a fast-paced environment where priorities may change.
- Ability to plan, multitask, and prioritize work independently.
- Hands-on experience using project management tools, enterprise systems, and tracking/reporting software.
- Strong written and verbal communication skills, along with solid interpersonal ability.
- Experience supporting budget tracking or revenue recognition activities and related reporting.
- Ability to create polished internal materials and client-facing documents.
- Availability during standard business hours from 8am to 5pm Eastern Time, with occasional after-hours support as needed.
- Candidates based in the Eastern or Central time zones are strongly preferred.
Preferred qualifications
- PMP or CAPM certification is preferred.
- Background in life sciences or healthcare is preferred.
