Role Overview
The Wellness Coordinator will support the daily operations of Asaya by combining guest service, administrative coordination, concierge support, and payment handling. This role requires strong attention to detail, excellent communication, and the ability to keep wellness services organized, welcoming, and professionally managed.
Key Responsibilities
- Welcome guests and members to Asaya and maintain a polished, professional reception environment.
- Promote additional services and facilities through effective upselling.
- Recommend suitable Asaya experiences to clients and maintain strong knowledge of all wellness offerings.
- Understand product details well enough to assist therapists and support retail sales.
- Handle payment processing, voucher purchases, bookings, and voucher redemptions.
- Keep product displays organized and ensure the reception area remains clean, tidy, and well presented.
- Help maintain the overall condition and readiness of Asaya facilities.
- Manage scheduling, calendars, room bookings, and preparation of materials for wellness services.
- Act as the first contact point for internal wellness queries and coordinate related communications.
- Support wellness data collection while maintaining confidentiality and privacy compliance.
- Maintain client records, treatment logs, intake forms, and follow-up documentation.
- Track spa inventory and wellness supplies, and coordinate timely reordering with the Wellness Manager.
- Support the communication and promotion of wellness packages, workshops, and seasonal campaigns.
- Prepare daily reports, attendance records, and summaries of client feedback.
- Generate invoices, process payments, and maintain accurate billing records.
- Assist with vendor coordination and practitioner scheduling.
- Ensure cleanliness, organization, and confidentiality are upheld according to spa standards and health rules.
- Answer incoming calls promptly and use the correct greeting.
- Identify the guest’s preferred service and timing, then book the most suitable appointment based on therapist and practitioner availability while suggesting add-on treatments where appropriate.
- Capture complete booking details so follow-up contact can be made when needed.
- Provide first-time guests and members with an orientation of the facility, including services, rules, and important information.
- Record group, press, and VIP booking details and pass them to the Director of Wellness or Assistant with full contact and booking information.
- Use available staff efficiently during rostered hours to improve service flow and productivity.
- Process post-treatment payments accurately and complete the required paperwork for daily reconciliation.
- Ensure voucher sales and redemption records match correctly with the supporting documentation.
- Carry out end-of-day cashing up, reconcile all payment types, and deposit funds securely in line with hotel cash-handling procedures.
- Maintain sufficient supplies of towels and amenities and collect deliveries from purchasing or other departments when needed.
- Ensure soiled linen is sent to laundry and clean linen is collected regularly.
- Use proper manual-handling methods, including trolleys when moving goods.
- Respond calmly and efficiently to fire alarms by notifying the department and evacuating to the designated assembly point according to hotel policy.
- Keep communication flowing within the team and with the Director of Wellness so operational issues are addressed quickly.
- Escalate guest complaints to the Director of Wellness or Assistant when needed.
- Coordinate with other hotel departments to maintain effective cross-department communication.
- Support the training and development of colleagues as required.
- Attend required training sessions and courses.
