Role Overview
This position is for an organized and detail-focused Administrative Assistant who has practical exposure to UAE visa processing and HR administration. The role involves supporting employment documentation, government-related processing, and day-to-day administrative work while ensuring compliance with UAE employment practices and Labour Law requirements.
The ideal candidate should be comfortable working in a busy environment, managing several tasks at once, and maintaining accuracy across sensitive employee records and official documents.
Key Responsibilities
- Manage the full visa process for employees, including new applications, renewals, cancellations, and updates to visa status.
- Coordinate with PROs, typing centers, and government systems such as MOHRE, GDRFA, and ICP to keep submissions moving smoothly and on time.
- Prepare and issue offer letters, employment contracts, amendments, and other HR documents in line with UAE rules.
- Arrange medical fitness tests, Emirates ID biometrics, and visa stamping for staff members.
- Keep employee files accurate and up to date in both physical and digital formats, while protecting confidentiality.
- Track visa expiry dates and follow up early to support timely renewals.
- Assist with onboarding and exit procedures, including collection of documents and clearance steps.
- Help ensure adherence to UAE Labour Law and internal HR policies.
- Respond to employee questions and communicate with relevant authorities regarding visa and employment matters.
- Provide general office support such as scheduling, filing, data entry, and report preparation.
- Take on additional administrative and HR-related tasks as assigned.
Requirements
- A bachelor’s degree in Business Administration or a closely related field is preferred.
- At least 1 to 2 years of UAE-based experience in administration or HR support.
- Hands-on familiarity with UAE visa procedures and government portal processes.
- Working knowledge of UAE Labour Law and employment regulations.
- Ability to draft contracts, letters, and formal correspondence with accuracy.
- Strong organizational ability and close attention to detail.
- Good command of MS Office tools, especially Word, Excel, and Outlook.
- Strong written and spoken English communication skills.
- Ability to manage confidential information professionally and discreetly.
