About the role

In this role, you will be at the centre of the company’s business operations, helping keep teams aligned, processes organised and day-to-day activity running effectively.
Reporting to the Chief Operating Officer, you will work closely with the CEO, COO and Senior Leadership Team to support core operational rhythms, strategic projects and a strong employee experience across the organisation’s global offices. This position goes well beyond standard administrative support — you will take ownership of the travel and expenses platform, assist with wider business operations and help shape workplaces where people can do their best work.
The team is collaborative and purpose-led, and the role offers variety, real impact and room to develop. It is well suited to someone who enjoys solving problems early, bringing structure to complexity and keeping many moving parts under control.
What you will do
You will help the business run smoothly by coordinating operational rhythms, supporting leadership meetings and managing key administrative workflows. This includes weekly operational meetings, trimester planning cycles, executive calendars, meeting preparation, room bookings, catering, follow-up actions, presentations, dashboards, reports and business documentation.
You will also maintain and improve core process documentation, support RFP and tender activity, and assist with strategic initiatives, leadership off-sites, planning sessions and company-wide meetings.
In an executive support capacity, you will help the COO and other senior leaders with calendars, travel, expenses, meeting coordination and ad hoc priorities, while proactively clearing blockers and keeping important work moving.
A major part of the role is owning the travel and expense platform. You will manage the system end to end, handle travel queries, troubleshoot issues, support bookings and policy questions, coordinate onboarding and offboarding in the platform, manage vendor relationships and renewals, and review usage, adoption and spend trends to improve efficiency.
You will also be the primary contact for the Dunedin office and help coordinate workplace operations across global sites in collaboration with local coordinators. This includes office access, facilities, vendors, lease renewals, budgets, relocations or fit-out projects, amenities, onboarding and offboarding logistics, workplace improvements, catering and all-staff food arrangements.
To keep the workplace safe and welcoming, you will support health and safety activities, carry out office inspections and act as Fire Warden and evacuation coordinator for the Dunedin office.
About you
You are likely to thrive in a busy, varied role where no two days look the same. You enjoy creating order, staying calm under pressure and building productive relationships across a wide organisation.
- You bring at least 2 years of experience in an operations coordinator, executive assistant, office manager, workplace manager or comparable business support position.
- You have supported senior leaders with calendar management, meeting logistics, travel arrangements and executive administration.
- You have hands-on experience coordinating operations, projects, leadership meetings and wider company initiatives in a fast-moving environment.
- You are comfortable preparing reports, presentations, dashboards and business documents for senior audiences.
- You have worked with travel and expense systems, ideally Navan, and have handled employee support, reporting and vendor coordination.
- You understand workplace operations such as facilities, office services, suppliers, budgets and workplace projects.
- You communicate clearly in writing and verbally, and you can build trusted working relationships at all levels.
- You are highly organised, attentive to detail and able to manage multiple priorities at once.
- You take initiative, think in solutions and show strong ownership of your work.
- You are confident using a range of business tools and technology; experience with AI tools to improve productivity is a plus.
- Experience in event planning or coordination would be an advantage.
