Role Overview
This position is focused on providing wide-ranging administrative and coordination support to leaders and teams. The role is designed to keep schedules, logistics, and day-to-day business activities running smoothly and efficiently.
Key Responsibilities
- Manage calendars, meetings, and priority scheduling.
- Coordinate the team’s operating rhythm in partnership with leadership, including all-hands meetings, town halls, and technical review sessions.
- Oversee business operations support such as budgeting, accounting-related processes, procurement planning, and vendor coordination; also identify and help implement improvements to operational workflows.
- Support executives with travel plans, calendar coordination, and expense handling, while also organizing logistics for internal and external leaders, including distributed global teams.
- Arrange team activities, off-sites, and related administrative work such as raising purchase orders and validating expenses.
- Help new hires get set up for a productive first day by coordinating access, hardware, and other onboarding logistics; maintain distribution lists and act as a contact for onboarding and exit-related processes.
- Track, maintain, and report physical assets in line with company policy.
- Book travel through company systems and secure the required documents for international trips.
- Support space planning and space-management activities, including coordination with managers and colleagues for larger requests.
Requirements
- Prior experience in administrative support or executive assistance.
- Ability to juggle several priorities and complete tasks effectively.
- Strong planning, organization, and issue-solving capabilities.
- Good command of Microsoft Office and other related business software.
- Clear written and verbal communication, along with strong people skills.
- Comfort working both on your own and as part of a team.
- Background in a corporate setting, preferably with globally distributed teams.
- Familiarity with travel coordination and space-management processes.
