About the organisation
Sony Foundation is the philanthropy arm of Sony’s businesses in Australia. Its work focuses on helping young people across the country by supporting their development, talent and wellbeing.
Role summary
The organisation is looking for a proactive and highly organised Events & Programs Coordinator to join the team on a fixed-term contract of up to 15 months. This is a full-time position reporting to the General Manager and supporting the delivery of the Foundation’s annual fundraising event calendar as well as youth-focused programs.
The role combines event coordination, program administration and general office support. It contributes directly to initiatives that assist young Australians affected by cancer, disability or disadvantage. Because the team is small, the successful person will need to be practical, adaptable and ready to contribute from day one.
Fundraising and events support
- Help plan, run and expand the 4Ward Series of Events across Sydney, Melbourne, Brisbane and Adelaide.
- Handle pre-event logistics such as event packs, courier bookings, crew catering, ordering supplies and sourcing gift bag items.
- Assist with creative production, including invitations, digital content, EDM assets and event-day screen materials.
- Support the setup and use of digital event platforms and project management systems.
- Coordinate event volunteers, including recruitment through corporate partners, and manage their fundraising-related tasks.
- Assist with drafting performance briefs for Sony Music artists.
- Manage guest RSVPs and event communications.
- Arrange travel bookings.
- Provide on-site event support, including bump-in, live event delivery and bump-out, with flexibility for interstate travel.
- Complete post-event tasks such as gifting, prize delivery, partner impact reporting and event close-out.
- Support the annual Corporate Partner Thank You Event.
- Work with the broader team to identify and engage donors, sponsors and partners connected to health-related causes.
- Assist with fundraising and awareness activities for corporate partners and beneficiary organisations.
- Support community fundraising efforts such as City2Surf and individual fundraising campaigns, including website setup and promotional collateral.
Program support and delivery
- Work with the General Manager to review and progress You Can Stay patient referrals, ensuring the process remains timely and efficient for families and healthcare providers.
- Liaise with the Foundation’s accommodation partner to keep the You Can Stay booking process running smoothly.
- Support the Event Manager with workshops and activities for the Musicians Making a Difference STAR program.
- Assist with administration, partner experiences and Christmas gift activities for the Children’s Holiday Camp program.
Administrative support
- Answer the main phone line and monitor the team inbox.
- Maintain the Foundation’s CRM database with support from the Event Manager.
- Help the Event Manager manage project timelines for events.
- Support the Communications Officer with social media, event programs, and bi-annual magazine design and story content.
- Update the website as needed.
- Provide general administrative assistance to the CEO and General Manager.
Experience and skills
The role suits someone with 2 to 3 years of experience in events, marketing, media or project coordination. Strong administration, organisation and attention to detail are essential, along with the ability to juggle several priorities and deadlines at once.
You should be comfortable communicating professionally with a wide range of stakeholders, including corporate partners, donors, suppliers and beneficiaries. The role also calls for someone who can work independently while contributing positively to a small, collaborative team.
Because this is an event-facing role, confidence in busy on-site environments is important, as is comfort with practical tasks and occasional interstate travel. The team is looking for someone who communicates with empathy, maturity and respect when dealing with families and healthcare professionals.
Social media familiarity across Instagram, Facebook and LinkedIn is expected, along with basic content creation and scheduling ability. Experience with Canva or a similar tool would be an advantage. Comfortable use of digital event platforms and CRM systems is also desirable.
A tertiary qualification, or relevant experience in events, communications, marketing, media or not-for-profit work, would be well regarded.
Working conditions and other notes
The role may require flexible interstate travel at different times of the year. Hours can also increase in the lead-up to major events depending on workload. Applicants must have full-time working rights in Australia.
Experience in a not-for-profit organisation or volunteer work will be viewed positively, although it is not mandatory. The successful candidate should be motivated by charity work that creates meaningful support for vulnerable communities.
