Role overview
This full-time Executive Assistant position is based on-site in Burlington, Ontario, and follows a 37.5-hour workweek. The assignment is an FTC of 6 months with the possibility of being extended. Key responsibilities
- Keep complex calendars, meetings, and changing priorities organised for senior executives.
- Draft agendas, build presentations, and record precise minutes to support follow-up and decision-making.
- Handle communication as a trusted contact point, using discretion and professionalism at all times.
- Arrange domestic and international travel and ensure all itineraries are coordinated smoothly.
- Stay ahead of needs, identify potential issues early, and resolve them proactively for the executive and the wider team.
What we are looking for
- Previous experience supporting senior leaders in an Executive Assistant or Personal Assistant role.
- Strong planning, prioritisation, and time management abilities, with careful attention to detail.
- Clear and confident communication skills in both written and spoken form.
- Comfort working independently in a fast-paced setting with multiple competing demands.
- Good knowledge of Microsoft Office and the ability to create polished documents and presentations.
Working arrangement
This role requires on-site attendance and is not remote. The weekly schedule is 37.5 hours. The contract is fixed term for 6 months, with potential for extension.
