Role summary
This full-time Executive Assistant role sits within NBCUniversal's Technical Operations team and supports the EVP, AI & Enterprise Innovation, as well as the SVP, AI Strategy & Innovation. The position requires exceptional planning, calendar management, communication, and organizational abilities, along with the professionalism needed to interact with senior leadership. It also plays a part in coordinating team engagement and site activities.
Key duties
- Handle day-to-day scheduling, calendar coordination, travel, expenses, contacts, meetings, seminars, and conference arrangements for the leaders supported by the role.
- Maintain trust and credibility with management by demonstrating sound judgment and dependable execution.
- Assess meeting requests, prioritize appropriately, and reshuffle schedules as needed with patience and flexibility.
- Coordinate complex meetings across multiple calendars and time zones while anticipating conflicts before they arise.
- Prepare and support meetings and events by arranging rooms, AV, telepresence, food and beverages, agendas, presentation materials, notes, and follow-up actions through completion.
- Administer expense processes, including approvals, reimbursements, reporting, and timely follow-up in line with company policy.
- Manage routine office and administrative tasks such as supplies, memberships, subscriptions, distribution lists, copying, faxing, and deliveries.
- Build and update presentations, agendas, spreadsheets, communications, databases, and reports.
- Join meetings when needed, capture notes, and share relevant information with stakeholders.
- Draft and edit correspondence and assist with special projects, team events, and backup coverage for other assistants.
- Carry out additional responsibilities as assigned.
Required experience and qualifications
- At least 8 years of experience in an administrative support capacity.
- High school diploma or GED.
- Proven ability to manage calendars, travel, meetings, contacts, and expenses with minimal mistakes.
- Comfort handling sensitive and confidential information.
- Strong command of Microsoft Office tools, especially Outlook, Word, Excel, and Teams; advanced PowerPoint skills are advantageous.
- Professional communication skills, including phone etiquette, email writing, and in-person presence.
- Experience recording detailed meeting notes, identifying action items, and following up with stakeholders.
- Ability to interpret priorities and adjust scheduling and content accordingly.
- Working knowledge of standard office equipment.

Working arrangement
This is a hybrid role with a requirement to work from the office at least four days per week. The employer may revise this in-office expectation at any time.
Compensation and benefits
The posted salary range for this position is $70,000 to $90,000 per year. The role is eligible for company-sponsored benefits such as medical, dental, and vision coverage, a 401(k) plan, paid leave, tuition reimbursement, and other discounts and perks.
