Role Overview
BPCM is hiring an Executive & Office Assistant to support two New York partners with day-to-day coordination, communications, and scheduling. The position also includes office administration and support for People Operations, including HR and recruiting tasks. It is a strong fit for someone who wants exposure to a fast-moving public relations agency and enjoys contributing across multiple business functions.
This role reports to the People Operations Manager and the Growth & Strategy Manager.
Key Responsibilities
Executive support
- Deliver senior-level administrative support to two partners, including calendar coordination, meeting setup, and travel planning.
- Draft and organize materials such as documents, slides, and client-facing presentation assets.
- Manage incoming calls, emails, and other correspondence, responding or triaging on behalf of the partners when appropriate.
- Support everyday office needs and help keep leadership operations running smoothly.
- Complete expense reports and invoice filing accurately and on time using Excel and SAP Concur.
- Keep contacts, records, files, and confidential documents current and well organized.
- Handle occasional personal errands or ad hoc support tasks as needed.
Office management
- Act as the go-to contact for operational questions within the office.
- Coordinate supplies, resources, and general office materials.
- Serve as a primary contact for office-related matters, including vendor coordination.
- Help maintain a tidy, organized, and welcoming workplace.
People Operations and HR support
- Support recruiting by arranging interviews, communicating with candidates, and helping maintain applicant tracking records.
- Provide administrative help with onboarding for new hires.
- Contribute to employee engagement, team-building, and a positive, inclusive, creative office culture.
- Bring ideas and collaboration to improve internal processes and the work environment.
Requirements
- 1 to 2 years of experience in administrative support, executive assistance, or office management, ideally in a creative or fast-paced setting.
- Strong ability to stay organized and juggle several priorities at once.
- Clear communication skills, both written and spoken.
- Comfort using Microsoft Word, Excel, PowerPoint, and Google Workspace.
- Proactive, flexible, and willing to take on new responsibilities.
- Interest in culture-building and people operations work.
- Ability to handle confidential information with care and discretion.
- Background or interest in public relations or creative industries is an advantage.

Additional Information
This is a hybrid role based in New York, NY, with a minimum of 4 in-office days per week and the possibility of up to 5 days in office.
The salary range for this position is $40,000 to $55,000 per year. Final compensation will depend on experience, skills, specialization, budget, and local market conditions.
