Role overview

Right To Be is hiring a part-time Administrative Associate to help keep day-to-day operations running smoothly and to support multiple teams with administrative coordination. This role is a key part of the organization’s internal support structure and works closely with the Vice President of Finance and Operations.

Work arrangement

This is a non-exempt part-time position scheduled for 15 hours per week, usually split across three 5-hour days from Tuesday through Thursday. The role follows a hybrid model: you will work from the Brooklyn office at least one day each week (Tuesday or Wednesday), with the remaining time remote. In some weeks, you may be asked to be in the office two days. Limited travel is also required. There are no direct reports attached to this position.

Operations and office administration

  • Handle routine office tasks such as answering and directing phone calls, entering data, and responding to general organizational email inquiries.
  • Maintain and update electronic records, task boards, and internal calendars.
  • Receive physical mail and checks at the Brooklyn office, scan and route them to the right staff members, and keep related records organized.
  • Coordinate the shipping of equipment to and from the office.
  • Order office equipment, track purchases, and monitor spending against budget limits.
  • Process and scan donations and checks, enter them into Salesforce, and store documentation in the retention folder.
  • Help keep the office clean, organized, and ready for staff use.
  • Provide general administrative and operational support across departments as needed.
  • Prepare contracts and move them through DocuSign for signature.
  • Draft, type, and proofread letters, memos, presentations, reports, and other business documents.
  • Support staff with troubleshooting and day-to-day use of internal tools such as Zoom, Slack, Asana, Hugo, and LastPass.
  • Help manage platform renewals and other license-related tasks.
  • Maintain the organizational wiki and update shared calendars regularly.

  • Assist with special projects and background research for new initiatives.
  • Update the Salesforce training plan as needed.
  • Prepare weekly registration reports for public trainings.
  • Set up polls for public training sessions.
  • Provide support for public trainings with more than 100 participants.

Requirements

  • At least 2 years of experience in project management, office administration, executive support, event planning, or a similar field.
  • Strong working knowledge of common office software and the ability to learn new systems quickly.
  • Comfort working with changing priorities, shifting management styles, and evolving business needs.
  • Excellent skills in organization, recordkeeping, communication, and interpersonal interaction.
  • Highly self-motivated, detail-focused, deadline-driven, and capable of managing multiple workstreams at once.
  • Ability to protect and handle confidential information appropriately.
  • Event planning experience or strong event coordination skills.
  • Excellent written and spoken communication skills.

Compensation and benefits

The pay rate for this role is $24.04 per hour based on a 15-hour workweek. Part-time employees receive a benefits package that includes a monthly health care stipend to help offset insurance costs, a work laptop and other required equipment, and paid time off benefits such as PTO, wellness leave, a week off between Christmas and New Year’s, Summer Fridays, and all major holidays. Benefits may be changed at the organization’s discretion.

Additional information

This role includes some travel and occasional in-office requirements beyond the standard weekly schedule. The position reports to the Vice President of Finance and Operations and does not include supervisory responsibilities.
