Role overview
This Boston-based full-time position sits at the intersection of executive assistance and office operations. The organization is looking for a polished, highly organized professional who can support senior leaders, keep daily office activity running smoothly, and help create a polished experience for employees, clients, and visitors.
In this role, you will balance multiple priorities at once, handle sensitive information carefully, and contribute to a productive, well-run workplace in a fast-moving professional setting.
Executive and administrative support
- Keep senior leaders’ calendars organized by anticipating scheduling needs and managing competing priorities.
- Arrange travel within the U.S. and abroad, including flights, hotels, ground transport, and full itineraries.
- Complete and reconcile business expense reports.
- Draft and manage confidential correspondence and other administrative tasks with a high level of care and discretion.
- Provide reliable day-to-day assistance that helps executives stay focused and efficient.
Office operations
- Act as the main contact for the Boston office and ensure employees and guests receive a warm, professional welcome.
- Set up meeting logistics, reserve conference rooms, coordinate catering, and support client visits.
- Keep the office organized, stocked, and presentable, including shared spaces, pantry/kitchen areas, and supplies.
- Oversee mail, deliveries, vendor coordination, and facility-related requests.
- Support onboarding logistics such as workspace preparation and readiness for new hires.
- Assist with internal events, team meetings, and broader office initiatives.
Operations and team support
- Work with internal stakeholders on vendor invoices, office spending, and operational projects.
- Contribute ideas that improve processes and strengthen the employee experience.
- Follow company standards related to confidentiality, data privacy, and information security.
- Step in where needed to help the wider team succeed.
Requirements
- A bachelor’s degree is required.
- At least 2 years of experience in office administration, business operations, executive support, or a related position.
- Previous support for senior executives is preferred.
- Strong ability to organize work, juggle multiple priorities, and stay effective in a fast-paced environment.
- Advanced comfort with Microsoft Office tools, especially Outlook, Excel, Word, and PowerPoint.
- Excellent attention to detail and dependable follow-through.
- Professional communication style with a strong service orientation.
- Good judgment when working with sensitive or confidential information.
- A collaborative, can-do mindset and willingness to assist wherever needed.
Compensation and benefits
