About the Role
This position is suited to someone who is highly organized, accurate, and comfortable working across both data and office operations. As a Data Entry and Operations Specialist, you will help multiple departments by keeping records clean, checking provider details, supporting audits, processing contractual information, and assembling provider panels. The role also includes front-desk duties such as welcoming visitors, answering calls, and helping with everyday office coordination. It is a strong fit for a person who enjoys a busy environment and takes pride in keeping operations running smoothly.
Key Responsibilities
- Contact medical provider offices each day to confirm demographic details and keep records current.
- Handle incoming emails, research responses, update internal systems, and direct queries to the right team.
- Assist with audits and special assignments by reviewing information for accuracy and compliance.
- Examine client agreements and network records to make sure all data matches and remains consistent.
- Spot patterns in the data and share useful observations with management.
- Enter provider demographics and reimbursement information into company systems with precision.
- Support scanning, document filing, and basic reporting tasks tied to daily operations.
- Prepare welcome packets and outgoing mailing campaigns on time and without errors.
- Develop and maintain accurate medical provider panels for workers' compensation accounts.
- Record client requests and follow through quickly so service expectations are met.
- Receive visitors, answer main phone lines, and transfer calls as needed.
- Manage office supplies, keep break areas organized, and help set up meetings and distribute mail.
Requirements
- High school diploma or GED is required; an associate degree or bachelor's degree is preferred.
- At least 2 years of experience in clerical, administrative, or customer service work, ideally in healthcare.
- Strong working knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, and Teams.
- Clear written and verbal communication skills.
- Ability to juggle multiple tasks, stay organized, and adjust quickly when priorities change.
- Strong attention to detail, respect for confidentiality, and dependable work habits.
- Experience with healthcare records, provider networks, or contract administration is a plus.
