Role overview

The Document Controller will set up, run, and improve a reliable document control framework so project information is handled accurately and on time. This position supports compliance with organisational standards related to sustainability, engineering, and operations, while keeping information moving smoothly across teams working in different disciplines.

Work location and reporting line

This role is based in Abu Dhabi, UAE. It sits within the Project Management / Engineering / Operations function and reports to the Project Manager or the Document Control Manager.

Document management and control

  • Establish and follow document control procedures aligned with company requirements and project-specific needs.
  • Record, monitor, and file all incoming and outgoing project documents in an orderly way.
  • Keep registers current for drawings, technical files, RFIs, submittals, and correspondence.
  • Oversee document numbering, revision tracking, and classification structures.
  • Make sure documents are reviewed, approved, and circulated within the required timeframe.

Electronic document management system (EDMS)

  • Administer EDMS platforms such as Aconex, SharePoint, or comparable systems.
  • Load, sort, and locate documents efficiently inside the platform.
  • Apply correct metadata so records can be found easily and remain audit-ready.
  • Guide and support team members in using the EDMS correctly.

Project coordination support

  • Work with engineers, contractors, consultants, and other stakeholders to keep documentation complete and accurate.
  • Help project teams prepare submissions and deliverables.
  • Monitor document submission schedules and flag delays or inconsistencies.
  • Coordinate with procurement and quality teams on materials-related and approval-related documentation.

Compliance and quality assurance

  • Ensure all records meet applicable standards, regulatory obligations, and environmental requirements.
  • Carry out periodic reviews of document control workflows to protect data accuracy and integrity.
  • Handle sensitive project information with confidentiality and security.
  • Assist with compliance for ISO standards such as ISO 9001 and ISO 14001.

Reporting and tracking

  • Prepare routine reports covering document status, submission logs, overdue items, and progress across workflows.
  • Track revisions and preserve the history of all project records.
  • Build dashboards and metrics to measure document control performance.

Archiving and handover

  • Archive project records properly at milestone stages and on completion.
  • Compile final documentation packs for handover to operations.
  • Store records according to the company’s retention rules.

Qualifications and experience

A bachelor’s degree or diploma in Business Administration, Engineering, Information Management, or a related discipline is required. A certification in Document Control or Records Management is preferred. The ideal candidate will have 2 to 4 years of experience in document control, ideally within construction, renewable energy, or major infrastructure projects. Experience in the UAE or GCC is highly desirable, and familiarity with sustainability-focused developments or smart city projects will be considered an advantage.

Technical and core skills

Strong command of EDMS tools such as Aconex and SharePoint, along with advanced Microsoft Office skills, is expected. The role also calls for an understanding of document lifecycle management, workflow systems, engineering drawings, and technical documentation standards.
