Role overview
This is a rare first-time executive assistant role supporting a founder behind a major AI community in the San Francisco Bay Area. The position is based in-office and is designed for someone who can create structure from zero, rather than step into an established system.
You will manage the founder’s inbox, calendar, and shifting priorities across multiple ventures, helping safeguard their time so they can stay focused on building. The pace is fast, the environment is demanding, and priorities can change throughout the day. There is no fixed playbook, so this role suits someone who thrives in ambiguity and can operate with strong judgment.
This opportunity is positioned as a high-growth role with exposure to leading people in the AI space, significant responsibility, and a steep learning curve.
What the role involves
- Own and organize the founder’s inbox, calendar, and day-to-day prioritization.
- Create systems and workflows from the ground up, rather than maintaining an existing assistant process.
- Help coordinate priorities across several ventures and protect the founder’s time.
- Work in a fast-moving setting where event days and shifting demands may require long hours.
What we are looking for
- At least 5 years of experience supporting a founder or senior executive.
- Strong comfort with AI tools and the ability to build personal workflows and automations independently.
- Must be based in San Francisco and available to work in person 3 to 5 days per week.
- A proactive, high-agency approach with the habit of closing loops without needing reminders.
- Composure under pressure, strong prioritization skills, and a naturally discreet style.
Preferred background
- Experience in startups, technology, media, or founder-led businesses.
- Comfort using Notion, Slack, and AI tools such as Claude.
- Exposure to content work, events, or community-building is an advantage.
Compensation and work setting
This is an in-office role in San Francisco, operating on Pacific Time. The compensation package includes a base salary of $120,000 to $160,000, plus equity and full benefits. It is described as startup-style compensation rather than big-tech level pay.
Hiring process
The selection flow is a short application, followed by a screening call, then a brief conversation with the COO, and finally a meeting with the founder. The team is moving quickly and plans to review candidates during the current week, including the weekend.
