Assistant Reservations Manager

Role overview

The Assistant Reservations Manager supports the reservations function by keeping room blocks accurate, handling booking activity, and managing group market codes. The role also involves communicating brand values to new team members and helping roll out updated reservations processes.

Key duties

• Handle reservation requests, amendments, and cancellations received through phone, fax, or mail.
• Identify guest booking needs and guide them toward the most suitable room type.
• Check room and rate availability before confirming arrangements.
• Explain guarantee terms, special pricing rules, and cancellation conditions to callers.
• Record and manage special requests and respond to questions about facilities, services, and accommodations.
• Use sales-focused techniques to help increase revenue.
• Enter, review, and retrieve information in the reservations system.
• Address issues related to rooming requests and resolve them where possible, or escalate them appropriately.
• Set up billing accounts in line with accounting procedures.
• Document, troubleshoot, and follow up on guest concerns and service issues.

Leadership and team support

• Assist managers with training, scheduling, coaching, counseling, and motivating team members.
• Act as a role model and the initial contact point for the Guarantee of Fair Treatment/Open Door Policy process.
• Help create a positive, supportive, and service-oriented working environment.

Standards and conduct

• Comply with all company policies and operating procedures.
• Maintain a neat, professional appearance and protect confidential and proprietary information.
• Safeguard company assets and follow quality assurance expectations.
• Welcome guests warmly, anticipate service needs, and show appreciation in line with brand standards.
• Communicate clearly and professionally in spoken and written form, including proper telephone etiquette.
• Build strong working relationships with colleagues and collaborate effectively.
• Read and verify information across different formats and complete assigned duties as requested by supervisors.
• Perform physical tasks that may involve moving, lifting, carrying, pushing, pulling, or placing items up to 10 pounds without assistance.

Qualifications

Preferred education is a high school diploma or GED equivalent. The role calls for at least 2 years of relevant work experience, including a minimum of 1 year in a supervisory capacity. No license or certification is required.
