Overview

Marina Bay Sands is looking for an experienced Document Controller to support construction-related document governance across a large, complex project environment in Singapore. The role sits at the center of document flow, system administration, compliance, coordination, and project close-out, ensuring records are accurate, controlled, secure, and easy to retrieve for the wider project team.

Document control management

  • Oversee the full document lifecycle, including logging, classification, metadata setup, and version tracking.
  • Keep document registers current and make sure all records remain aligned with project procedures.
  • Confirm that the latest approved documents are available to the relevant team members.
  • Set and apply controls for document permissions, access rights, and distribution groups.

Aconex administration

  • Configure and maintain Aconex workflows, transmittals, numbering rules, superseding logic, and distribution matrices.
  • Review documents received from consultants and contractors to ensure they follow document control policy before circulating them internally.
  • Coordinate review and approval cycles for drawings, specifications, permits, reports, and correspondence.
  • Track workflow status and follow up with reviewers to keep turnaround times on schedule.
  • Train project team members and provide day-to-day support for Aconex and SharePoint.

SharePoint management

  • Administer SharePoint libraries, including folder structures, access settings, metadata, and version control.
  • Support users with uploading, locating, and working on documents in SharePoint.
  • Keep Aconex and SharePoint document storage aligned where both platforms are used.

Quality, compliance, and confidentiality

  • Ensure documents follow company and department standards, project rules, naming conventions, and regulatory requirements.
  • Set and implement controls for EDMS attributes, project areas, naming rules, and similar governance items.
  • Carry out routine checks for document accuracy, completeness, and workflow compliance.
  • Protect confidential and sensitive information at all times.

Stakeholder coordination

  • Serve as the main point of contact for document control matters across internal teams, consultants, and contractors.
  • Maintain document schedules and trackers to support on-time delivery of controlled records.
  • Support MBS Procurement with document compilation, exhibits, and related materials for RFPs and change events.
  • Coordinate with Procurement on distribution and retention of formal communications tied to change management and commercial correspondence.
  • Help onboard new consultants and contractors by arranging manual issuance, training for EDMS and related third-party tools, and access setup.
  • Act as the key contact for resolving document control questions with design teams and contractors.

Reporting and tracking

  • Create reports and dashboards showing submission progress, overdue items, and workflow performance.
  • Track deliverables, contractor submissions, and regulatory documents from start to finish.

Project close-out

  • Prepare final handover documentation packages using Aconex or SharePoint.
  • Organize, index, and archive project records in line with retention requirements.

Requirements

The ideal candidate will bring at least 10 years of document control experience in construction, engineering, architecture, or a related field. Strong hands-on expertise with Oracle Aconex is essential, along with advanced capability in SharePoint libraries, metadata handling, and collaboration tools. The role also requires solid experience building and enforcing document control processes, especially in guiding consultants’ and contractors’ compliance with procedures.

Additional requirements include Bluebeam Revu proficiency, experience working with large and complex project teams delivering major commercial buildings, the ability to manage multiple priorities under pressure, and strong Microsoft Office skills, especially Excel, Word, and PowerPoint.

Preferred experience

Experience in large-scale integrated resorts or regulated casino environments is preferred. Familiarity with Autodesk software is also an advantage.

Key competencies

  • Strong written and verbal communication, with excellent coordination skills.
  • High attention to detail and well-developed organizational ability.
  • Consistent focus on accuracy and data integrity.
  • Ability to troubleshoot document issues quickly and effectively.
  • Analytical approach to tracking documents and producing reports.
  • Proactive, flexible, and comfortable working across functions.
