Role Overview
This position is designed for someone who can act as the operational center of a fast-paced leadership group. You will keep the San Francisco office organized and efficient while supporting executives as their go-to partner for calendars, travel, and the many details that help a team move quickly without missing anything important.
The environment is startup-fast, so the right person will take initiative, solve problems independently, and use AI tools to multiply output and reduce manual work.
What You Will Handle
- Manage executive calendars across several time zones, safeguard focus time, prevent scheduling conflicts, and ensure meetings are prepared appropriately.
- Arrange complicated travel itineraries across San Francisco, New York, London, and other international locations, including urgent changes, visa coordination, and practical end-to-end planning.
- Oversee day-to-day office operations in San Francisco, including vendors, supplies, mail, facilities, food, security access, and other essentials that keep the workplace running smoothly.
- Coordinate onsite visits, offsites, board meetings, investor meetings, and team events from initial logistics through completion.
- Handle incoming communication by sorting executive email and requests, drafting responses, and tracking follow-ups so tasks do not fall through the cracks.
- Create and improve simple operating systems such as expense processes, scheduling templates, and vendor trackers using AI and modern software tools.
- Serve as the first in-person contact for candidates, partners, and guests, helping shape how the company is experienced onsite.
Compensation
The expected annual salary range for this role is $80,000 to $120,000.
Requirements
- At least 3 years of experience as an executive assistant, office manager, or a similar high-trust operator role such as chief of staff, preferably in a startup or similarly fast-moving environment.
- A strong action-oriented mindset with the ability to spot issues and resolve them proactively without needing repeated direction.
- Excellent written communication skills and sound judgment when representing executives.
- Ability to stay effective in ambiguous situations and switch between very different tasks throughout the day.
- Comfort using AI and SaaS tools, or a willingness to quickly become fluent in them, since the company emphasizes automation and efficiency.
- High discretion and reliability when dealing with sensitive financial, legal, and people-related information.
- Location fit for San Francisco, with willingness to relocate if needed, and readiness to work from the office.

This is an in-office role based in San Francisco. The company expects the person in this seat to be physically present and closely connected to the team’s daily operations.
